The Air Ambulance Service provides two very important functions, Helicopter Emergency Medical Services (HEMS) and The Children's Air Ambulance which provides paediatric transfers across the UK.

Our objective is to save lives, utilising specialist pilots, doctors, and paramedics and with our work centred on saving lives, improving clinical outcomes and being able to react quickly and efficiently to emergencies.

We are looking for a HR Coordinator on a part time basis for up to 18.5 hours per week over 3 or 4 days per week.

The role of the HR Coordinator will be working closely with the HR Operations team.

You will be primarily responsible for supporting the operational onboarding activity as part of the new starter process and supporting with generalist HR queries and first line advice.


You will also be responsible for administering the new starter and leaver process, including the production of contractual paperwork, DBS, References and Proof of Right to Work checks.

You will also be supporting with the administration of our outsourced monthly Payroll.


This Part-time position (up to 18.5 hours per week) is based at the Charity HQ in Rugby, with a mixture of home working and office working and very occasional travel to other operational sites.


Purpose
Provide a professional and quality administrative and support service to the HR and People team. Contribute to the continuing development of the HR department.


Main Duties and Responsibilities

  • Management of the HR Admin inbox, escalating any queries or concerns to the relevant person within the team
  • Support with the processing of monthly payroll
  • Supporting the Recruitment Coordinator where required
  • Supporting the full onboarding life cycle for new starters, including References, DBS Checks, right to work
  • Prepare and issue, Contracts, statement of particulars in accordance with agreed process.
  • Managing the Changes and leaver process, ensuring system updates, including payroll, and required paperwork is completed
  • Accurately calculate pay, annual leave and other contractual entitlements
  • Ensure all relevant databases and trackers are kept up to date
  • Providing proactive support where needed across the organisation, this may include note taking at required meetings
  • Data input and reports from the HRIS system
  • Ensure compliance with all TAAS operating procedures and standards.

  • Calm and professional approach, with an aptitude for excellent customer service
  • Excellent attention to detail
  • Proficient in the use of Microsoft Office including Word, Excel, Outlook, Databases and Power Point.
  • Experience of HR/Recruitment administration work
  • Experience of working in a busy environment
  • Ability to multitask and prioritise a varied and diverse workload.
  • Ability to work without constant supervision, using own initiative
  • Ability to use appropriate judgement to seek and clarify detail where appropriate, escalating when necessary to senior colleagues.
  • Be able to maintain high levels of confidentiality and communication.
  • Able to work flexibly over the working week, with the possibility of needing to swap any agreed working days on occasions of absence and holiday.
