We are now looking for a first-class administrator to take on the vital role of Operations Co-
**ordinator in the organisation.


Requirements:


Essential

  • Experience of coordination of project programmes, tasks and stakeholders
  • Very proficient in use of Microsoft Word
  • Proficient in use of PowerPoint and Excel
  • Excellent communication and organisational skills
  • Comfortable to work with people at all levels and seniority
  • Ability to work well in a team but also happy to work independently
  • Confident presenter
  • Higher education qualification
  • Willingness to travel from time to time
  • A commitment to living and working sustainably

Desirable

  • Understanding of ISO quality systems
  • Recognised qualification in a relevant technical or business discipline
  • An understanding of Net Zero / environmental / sustainability issues

General Objectives
The Operations Coordinator will be expected to support the consultancy teams on a wide range of
tasks.


Key objectives will be to:

  • Take responsibility for the appointed tasks, assignments or specified elements of a project
or assignment as directed by the Operations Director or specific Project Manager

  • Deliver work of a high quality, often to demanding timescales, which meets the agreed
scope of work

  • Support other members of the team and company as required to meet personal, team and
company objectives

  • Comply with and provide specific administrative support to the company's ISO 9001:2015
certified Documented Management System (DMS), ISO 50001:2018 certified Energy
Management System (EnMS) and B Corp accreditation requirements

  • To represent JRP Solutions in a professional manner at all times
  • To communicate effectively and openly with all levels of staff within JRP Solutions and
customer's organisations


Specific Objectives and Job Description
The work will be split into three areas as follows:

Service Delivery Support

  • Initiate all elements of the service delivery procedures, monitor, chase and report progress
  • Set up Handover meetings and take minutes
  • Minute Kick Off meetings and adhoc customer meetings
  • Initiate subcontractor work scopes and purchase orders
  • Seek internal approvals for purchase orders and thirdparty agreements
  • Maintain subcontractor information in line with processes
  • Manage customer RFI (Request For Information) data
  • Initiate risk assessments and method statements
  • Update relevant reporting systems through the agreed processes
  • Proofread presentations and reports as part of the quality control process
  • Liaise with the Business Assistant re completion of jobs and invoicing
  • Maintain portal project files and add all relevant documents
  • Facilitate small consultancy projects

Business Administration

  • Support the Business Assistant and Sales Assistant as part of the incapacity plan
Operations Coordinator
2 July 202- Provide Continual Improvement Support to the Business Processes

  • Provide support to the Quality Manager by administering and maintaining elements of the
business management systems

Service Delivery Research Support

  • Research topics and write briefing notes for training of the Ops team
  • Research topics on behalf of customers
