Role Title:
Compliance Assistant


Responsible to:
Compliance Manager


Location:
Head Office with on-site visits throughout the UK


Purpose:
To assist in the management of compliance across the company including ISO 9001, ISO 14001, and health & safety.

Ensuring that all required documentation is accurately created, stored, and maintained to minimise risks and promote a positive and compliant safety culture.

Provide compliance and health & safety support to all Sapphire sites and depots, company vehicle fleet management and provide a range of duties for the smooth functioning of the business.

To support the implementation of business standards for the company and to ensure that its employees and operational procedures meet these standards.

The role will involve on-site audits, reporting and advising both Senior Managers and local site Managers of the audit findings.


Key Accountabilities and Responsibilities:
The main duties and responsibilities will be supporting the Compliance Manager and operational teams to:

  • Aid in the implementation of Business Management Quality standards and procedures.
  • Review existing procedures to ensure they meet the current guidelines.
  • Auditing and testing the Management System to ensure that it meets quality standards.
  • Maintaining excellent documentation of procedures and updating as required
  • Preparing performance reports for relevant stakeholders
  • Collaborating with external vendors and suppliers to ensure that they meet quality standards.
  • Ensuring that all processes meet safety, legal and other national or international standards.
  • Identify areas for continual improvement (efficiency/ cost saving/ HSE) and develop solutions to deliver such. This will include proposing and implementing (by agreement) new work practices and procedures.
  • Identify and propose permanent continuous improvements to the Business & Environmental Management Systems.
  • Assisting with daytoday Compliance Management
  • Arrange fire extinguishers and PAT testing to be serviced when due.
  • Regular Travel site visits around the country to all depots providing compliance and health & safety support.
  • Booking and arranging travel, transport, and accommodation for various employees
  • Order office/facility equipment.
  • Fleet Management i.e.,
  • Arranging the servicing and MOTs of company vehicles,
  • Taking company vehicles to be valeted,
  • Distributing and managing speeding fines, driving, and parking offences,
  • Managing V5s, service histories and MOTs
  • Processing the taxation of all company vehicles,
  • Manage the Dart charge vehicle lists.
  • Produce the minutes for monthly ISO and Health & Safety meetings.

General

  • To carry out the duties above in a manner that complies with the Health and Safety at Work legislation, which is to work safely and with due regard to the health, safety and welfare of both self and any other employees in the Company and continue to maintain an effective and robust HSE environment at Sapphire Vehicle Services Limited.
  • To undertake any other duties within the Company that are requested to aid the performance of the Company. These duties will not be of a greater or more complex nature and level of responsibility than those of the post holder, except with the appropriate mutual agreement and necessary training.
  • Ideally have previously worked in the Motor Vehicle environment.
  • Ideally have knowledge of ISO9001, ISO 14001 and health and safety regulations and be able to audit against this standard (or willing to be trained)
  • Be able to work conscientiously, flexibly and work on their own or as part of a team.
  • Be an excellent communicator both written and verbal.
  • Will be selfmotivated and able to manage own time.
  • Will be happy to travel throughout the UK, including staying overnight as required.
  • Have familiarisation with Microsoft Office

Sapphire Vehicle Services currently has an exciting opportunity for a Compliance Assistant to join our dynamic team.

You will work closely with the Compliance Manager and Health and Safety Manager to assist in compliance across the company and to promote a positive and compliant safety culture.

You will support the implementation of business standards and operational procedures as well as provide compliance and health & safety support to all Sapphire sites and depots.


The responsibility of this role:
