An exciting opportunity has arisen in the Swindon Borough Council Fleet Team for a Fleet & Workshops Support Administrator based at Waterside Depot.


Your next role
The Fleet team play a vital role in supporting all service areas within Swindon Borough Council responsibilities will include:

  • To be the point of contact for all queries into the Fleet operation on a daily basis between all sections of fleet and the users of the vehicles concerned
  • Answering routine phone calls and face to face enquiries, dealing with messages
  • Supervising fleet parts stocks levels and ensure the fleet stores is running efficiently
  • Updating the Fleet Management system including producing and completing of job cards
  • Inputting accurate data into the Fleet systems with regard to all Fleet vehicles, tools & plant.
  • Producing reports from Fleet systems as required
  • To be the point of contact with all departments regarding the collection of vehicles
  • Collating end of day procedures/handover notes for the morning supervisor the following day
  • Processing invoices, deal with queries from suppliers, clients and process all relevant documentation as required
  • Problemsolving skills to enable resolution before escalation to Fleet and Workshop Manager
  • Working closely with Accounts Payable to make sure that invoices are processed and passed in a timely manner as required
  • Supporting the ordering of the hire car process from internal customers
  • Providing information and help to support Transport Operations including the issue of fuel
  • To be the point of contact with regards to the Councils Tools & Plant and to liaise with a thirdparty contractor overseeing this.


Excellent computer and record keeping skills are essential and if required you will receive training in the use of the workshops bespoke fleet management system.


  • You must be fluent in the English language (as a requirement of Part 7 of the Immigration Act "for the effective performance of a customerfacing role")._
