Basic Overview
A wide-ranging role with specific areas of focus on HR support, tracking employee life cycle from start to end. Providing assistance to the board of directors (BOD), as and when required. Key to both aspects is the ability to handle confidential information in organisational and operational areas.

Administrative support will encompass numerous record keeping, fact finding, analytical, progressing and updating tasks in support of the HR function in the areas of recruitment, escalating employment relations, training and employee engagement.

The BOD requires trusted confidential administrative support across all areas of their remit.


Duties and Responsibilities

  • Act as an initial point of contact for employee queries and escalate to HR Manager where needed.
  • Play a key role in all aspects of the recruitment and onboarding process
  • Assisting with company's apprenticeship programme.
  • Conducting exit interviews and providing feedback to the HR Manager.
  • Ensure any contract variations are processed swiftly, e.g. employee notified in writing and payroll has been notified.
  • Becoming a superuser on ourHR system.
  • Working with managers on scheduling employees 3month reviews & 6month probation periods reviews, considering whether employees have successfully completed their probation period and confirming in writing, also identifying development/ training needs via career aspirations.
  • Assist where necessary with identification and arrangement of training courses.
  • Dealing sensitively with Employee Relations issues, including manging all requests for maternity, paternity, shared parental leave and flexible working.
  • Ensuring sickness absence is monitored, making sure return to work forms are completed, updating the sickness tracker, and follow up with appropriate Managers if absence levels are of a concern
  • Regular recording and updating of HR data and production of associated metrics and actions.
  • Ensure all relevant HR trackers are continually updated and maintained.
  • Support the HR Manager and assist in adhoc HR projects, as and when necessary.
  • Minuting confidential meetings when requested
  • Assist in coordinating wellbeing initiatives and activities throughout the year.
  • Other administrative duties as defined from time to time by the HR Manager.

Qualifications/ Experience required

  • Solid HR administrative experience, good knowledge of HR practices and processes
  • Ideally CIPD Level 3 qualified
  • The ability to handle and keep secure highly confidential information.
  • Experience in recruitment and dealing with staff agencies.
  • Strong organisational skills, with a flexible approach.
  • Strong IT and communication skills
  • General administrative skills including minute taking.
  • Accurate record keeping.
  • Excellent attention to detail.
