The Role
As the Office Assistant / Diary Coordinator, you will be responsible for ensuring the smooth running of the office which will include the following duties:
Prime Tasks
Guests:
Meet and greet visitors at all levels of seniority with a welcoming attitude.
Telephone:
Answering incoming calls as first point of contact. Refer calls and phone messages to appropriate person.
Post:
Distributing incoming post to relevant departments and franking outgoing post
Diary Management:
External meetings & visitors: coordinating the meeting rooms, equipment and when needed, refreshments throughout the day.
Travel:
Offering support with coordinating travel requirements for all staff, when needed
Supplies:
Control of all office supplies and office equipment
Office Premises:
Keep reception, kitchen, meeting rooms and office tidy and liaise with relevant people to ensure standard maintained.
Office Admin:
Provide administrative support when necessary and as required by the business. Control of petty cash.
Facilities:
Liaise with Building Manager for utilities, maintenance and repair requests (e.g. air-con), Waste management & recycling
Events:
Assist Events team with running in-house events.
Support Diary Coordinator to the CEO and Board of Directors (to include: travel, diary management, meetings, events, correspondence, screening of phone calls).
Employment and Health&Safety Training for team

Qualifications, Experience and Expertise
□ Proven experience in a related role such as Office Assistant, Receptionist or other relevant position
□ Very strong written and spoken communication abilities
□ Efficient, organised and diligent, able to prioritise workload.
□ Excellent problem-solving skills, the ability to research and an aptitude for helping other people
□ Proactive and prepared to use initiative
Salary:
£21,500.00-£23,000.00 per year

Ability to commute/relocate:
- Woking: reliably commute or plan to relocate before starting work (required)
Education:
- A-Level or equivalent (preferred)
Experience:
- Customer service: 1 year (required)
- Administrative experience: 1 year (preferred)
Language:
- English (preferred)
Licence/Certification:
- Driving Licence (preferred)
