Receptionist / Administrator


Responsible to:
Assistant Practice Manager


Job Summary:


To receive, assist and direct patients in accessing appropriate services and healthcare professionals in a courteous, efficient and effective way.

To be an integral member of the wider Practice team delivering the administrative processes required to ensure that the services provided are delivered in a timely and appropriate manner to the required standard.


Responsibilities:


  • To process personal and telephone requests for appointments, visits and consultations, ensuring callers are directed to the appropriate healthcare professional
  • Action repeat prescription requests in line with Practice policy and protocol
  • Scanning of some incoming letters and documents into computerised patient record
  • From electronic and paper correspondence and documents, identify relevant information and make coded entry into patient records in accordance with Practice protocols
  • Assist in maintaining the efficient running of the computerised workflow system in EMIS.
  • To accurately enter all necessary data relating to patient registrations, change of name & address, online access requests and temporary patients.
  • Respond to requests for information from patients, associated healthcare agencies and providers.
  • Advise patients of Practice procedures and protocols as appropriate.
  • To process paper medical records, including filing and storage, in line with practice procedures
  • Any other tasks as identified by the Assistant Practice Manager, Practice Manager or GPs to support the effective running of the Practice.

  • In the performance of the duties outlined in this Job Description, the postholder may have access to confidential information relating to patients and their carers, and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety:

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to Practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified
