Connect2Luton are excited to recruit a Admin Assistant on behalf of Luton Borough Council within their Population Wellbeing department.


Main purpose of position:


Working under guidance the post will provide support to Building and Technical Services, with a specific focus on supporting the achievement of the Divisions aims and objectives, statutory obligations, performance targets, customer satisfaction and valuefor money.

Actively contribute to the achievement of the wider Housing Landlord aims, operational objectives and future state.


As a Admin Assistant, youwill be responsible to:

  • Under direction provide assistance in essential administrative support to different business areas to enable BTS to meet its contractual obligations.
This could mean carrying out a variety of tasks such as:

raising and completing day to day jobs, administrationof gas service tickets and gas service certificates general administration support for the responsive repairs and repair team supervisors, Voids and Projects team.

Under direction assist CSO team in completions, run sheets, general day to day admin work.

  • With guidance maintain on a day to day basis the repairs and central heating team data input into different designated spreadsheets or other IT systems as required, including ensuring data is correct, current and entered accurately and that records arekept up to date. Provide general administration support for the Division including filing, photocopying, scanning etc.
  • With guidance assist in maintaining system records as required by departmental procedures, including CP12, day to day ticket completions, annual leave, flexi time, tool loans and sickness absence information. Under direction compile monitoring informationand report statistics and trends through to operational managers.
  • Under direction assist in administering the training and development programme for BTS. Ensure that requests for training are handled in accordance with the LBC Training policy.
  • Under guidance, raise jobs for specialist tasks, day to day repair, or any other project related to day to day functions of the RCC.
  • Respond to telephone and written enquiries under the guidance of the Repair's Team Supervisor across the range of Division activities utilising the range of experience and skills across the team. Operate in an efficient and customer focussed manner andshow evidence of using your initiative to solve problems.
  • Under guidance accurately and efficiently maintain all spreadsheet's within the repairs team, produce all required reports and process all the tickets as required by the repairs team. Ensure all work is completed accurately and within the timescales specified.
Complete portfolio tasks as instructed.

  • Participate and assist in reception duties to ensure coverage and to provide a welcoming, customer focused, 'front end'. The post holder will cover, when required, other roles within BTS which are commensurate with the grade.
  • Assist in the continuous improvement of the Systems and Repairs Team, including through recommending new working methods and involvement on working groups to review, recommend and develop improvements, including new systems.

Skills and Experience

  • Some experience of administrative systems, processes and functions
  • Able to communicate effectively and politely, in writing and verbally, with a range of people including customers, internal colleagues and external agencies
  • Have some knowledge of different reports and maintain written work records
  • Able to deal with simple calculations and produce performance information and data
  • Able to work to procedures, guidelines and targets / deadlines
  • Some knowledge of Building environment
  • NVQ2 or equivalent experience in business administration
  • Able to attend sites throughout the borough as required
