Team Administrator
Deliver a quality administrative and secretarial service, to meet the requirements of an integrated structure adhering to deadlines and targets.
To deliver and maintain an administrative and secretarial procedure that enhances the collection and recordingof patient/client information and service performance management.

Expected to last 2-3 months with possible extension
Hours per week: 37.5 hours per week
Salary:
£13.50 per hour (Umbrella) or £12.50 per hour (PAYE inclusive of holiday pay)
Duties
- To provide a high quality secretarial and administrative service to a multidisciplinary adult mental health team.
- Within a team framework provide a high quality comprehensive support function ensuring effective standards of quality and equality to team of workers, including an effective responsive reception service to callers to office.
- To provide an effective and efficient quality word processing support service, utilising software including Microsoft packages.
- To be responsible for initiating, developing and maintaining client record systems ensuring all of the statutory and organisational requirements for their maintenance, safekeeping and disposal are adhered to at all times.
- To be responsible for the day to day processing of an effective and sensitive customer service when dealing with direct contact with Service Users, telephone calls and correspondence. Receiving and recording accurate and concise messages, ensuring messagesare forwarded on appropriately and timely.
- To maintain information system detailing the whereabouts of department members during working day, relaying details appropriately and timely.
- To be responsible for the minuting and typing of minutes, this may include the coordination of invitations, collating of agendas and relevant paperwork for attendees as required.
- To be responsible for ensuring that all case files related to clients are filed and stored in accordance with agreed organisational policies and legal legislation.
- To enter patient data accurately into RIO within agreed Trust deadlines.
- To check collated statistical returns as required and make amendments as and when necessary.
- To type outpatient letters/assessments as required.
- To ensure compliance with the Choose Booking system.
- To maintain adequate levels of information, resource materials, office sundries and supplies for department.
- To photocopy, fax and distribute documents as appropriate.
- To sort and distribute internal and external documentation.
- To be responsible for the maintenance of office equipment and the environment, ensuring Health & Safety requirements are adhered to at all times.
