Job Purpose


To provide direct support to the Chief Executive Officer and wider Executive Team - providing efficient and effective support in an extremely busy, demanding and fast-paced role.

Key Responsibilities

Supporting all administrative needs of the Chief Executive and wider Executive Team including but not limited to;

  • Extensive, complex diary management including organising appointments, meetings, some personal appointments
  • Line manage Executive Support Assistant
  • Project support/ or coordination and working with the CEO on special projects
  • Coordination of all Board and Committee meetings
  • Minute Taking and distribution
  • Compilation and distribution of reports/ paperwork
  • Events management both internal and external, organising and facilitating sponsorship and attendance at industry events, working closely with the Marking and Communications team
  • Travel arrangements, trains, hotels, itineraries
  • Credit card reconciliation and expenses
  • Planning and implementing charitable initiatives
  • Providing ad hoc support to the Operations Board such as supporting HR with confidential matters when necessary
  • Providing cover for other team members where necessary
  • Manage, review and improve office systems
  • Building and developing relationships with internal and external stakeholders
Experience and Knowledge

  • Extensive experience as an EA supporting C
  • Suite
  • Excellent working knowledge of Microsoft and Office 36
  • Significant level of tact and discretion and the ability to remain calm under pressure
  • The ability to seek solutions to problems before being asked
  • Ability to build relationships with senior stakeholders
  • Highly organised, proactive and positive. Able to use own initiative, be methodical and have a good attention to detail even under pressure
  • Confident, able to communicate at all levels and personable
  • Ability to effectively balance competing priorities, be focused and resilient and build relationships quickly


Essential for the role is somebody who is able to change direction quickly and is not phased by last minute changes or demands.
