Together with a second full-time secretary, to provide a full administrative service in the Department of Neuropathology, to include clerical and secretarial support for its consultant neuropathologists and laboratory staff.

You will be able to work as part of a team, be able to demonstrate adaptability and initiative and have good communication and organisational skills.

Applicants are required to have good keyboard skills and a working knowledge of pathology IT systems would be desirable, although full training will be provided.


The Neuropathology department is located in purpose built laboratories at Southmead Hospital and processes neuropathological specimens from surgical patients or autopsies.

It is currently accredited to ISO 15189.

This is a permanent, full-time position (37.5 hours per week, five days per week, Mon - Fri).

The Neuropathology Department is part of the NMSK and Neurosciences Division of North Bristol NHS Trust (NBT). We are situated in the Pathology Sciences Building on the Southmead Hospital site.


We are a small and friendly team comprising of consultant neuropathologists, biomedical scientists, an associate practitioner, a medical laboratory assistant and another medical secretary.

We are a very busy team and often have to multi-task. The team prides itself in supporting one another and have open communication channels. We meet daily at 9:30am for our team huddle to discuss daily operations. We also have regular departmental and laboratory meetings to discuss the months progress and objectives. Additionally, we like to meet up socially and have mini social events at work to keep our spirits high.


The Department of Neuropathology are focussed on putting our patients first, ensuring we provide our patients with the best neuropathology experience possible.

We work to a number of quality objectives to ensure that the service we provide is of a high standard.

  • Using the Trust's PAS system to access and update patient records
  • Maintaining patient records and generating diagnostic reports for both surgical and autopsy cases using the Department's Laboratory Information Management System to:
  • Enter and update patient and medical data
  • Type and print diagnostic report documents
  • Produce audit and statistical information using established data retrieval tools
Also to maintain appropriate non-computerised data records.

  • PA activities for consultant neuropathologists
  • Managing both online and written diaries
  • Managing their annual and study leave arrangements
  • Assisting in arranging transport and accommodation for meetings and seminars
  • Assisting in arranging their work rotations
  • Arranging their appraisals with other medical personnel within the Trust.
  • To receive, answer and action all telephone and personal enquiries from medical and nonmedical staff, and to provide advice and information within defined guidelines
  • To manage the booking arrangements and waiting lists for muscle and nerve biopsies, especially those performed by the Neuropathology Department's medical staff.
  • Management of autopsy cases.

In addition to typing reports, to:

  • Liase with the various Coroners' offices regarding cases initiated by the Coronial service; and with the Police, CSI's, forensic pathologists and solicitors for criminal cases
  • To ensure that documentation indicating the nextofkin's consent for the disposal of residual tissue has been obtained, and this data accurately recorded for all categories of autopsy cases so that they are managed in compliance with the Human Tissue Act
  • To follow Trust procedures for recording the whereabouts of patient notes, and to ensure that all relevant parties obtain copies of autopsy reports
  • Financial activities:
  • Stock control of office supplies
  • Using the EROSnet electronic ordering system to generate requisitions for office supplies
  • Using the Oracle Invoicing System to raise invoices for neuropathology investigations on specimens from private patients, and for Coroners' and forensic autopsy investigations; and submitting internal private patient forms to the Private Patients Office
  • Using a financial spreadsheet to record details of invoices raised for neuropathology investigations, and to chase up creditors when payments are overdue
  • Attending to invoice queries and credit note requests using the Oracle system
  • Organising meetings, to include:
  • Booking speakers, and generating and circulating notices for Neurosciences Seminars
