Working Pattern 8.30am to 4.30 pm Monday to Thursday (4pm Friday)

(1⁄2 hour unpaid lunch break)

40 weeks per year (36 term time weeks plus 4 weeks/20 days)


Annual Salary £24,230 (A21)


Actual Annual Salary £21,158

You will be paid for 37 hours per week for 40 weeks.

This equates to £18,638 per annum, plus an element of pay in lieu of holiday entitlement equivalent to 5.41 weeks holiday which equates to £2,520 per annum.

This means that your actual annual salary will be £21,158.

Responsible to:


The Assistant Head (Co-Curricular) who has line management responsibility and the Bursar & Chief Operating Officer, who has overall responsibility for Support Staff.


Responsible for:


Managing and providing a full range of administrative support for the Assistant Head (Co-Curricular) and the delivery of administrative tasks as noted below.

These include administrative responsibility for the Senior School calendar which we envisage will be hosted on the SOCS platform from September 2023.

The Assistant Head (Co-Curricular) acts as the School's Educational Visits Co-ordinator, and so this person will be responsible for the administrative work that supports trip planning from start to finish.


Responsibilities in relation to support for the Assistant Head (Co-Curricular):

  • Providing administration support to the Assistant Head (Co-Curricular).

Responsibilities in relation to support for all Trips ("currently referred to as Off Site Activities"):

  • Supporting trip leaders by sending letters home and following the Trip admin procedures currently in place, including liaison with the Health and Wellbeing Centre, the Finance Team and Senior Leadership Team to ensure that every Off-Site Activity is appropriately communicated home, organised and risk assessed.
  • Supporting trip leaders by chasing up parents and reminding them regarding Trip deadlines and submissions, eg copies of passports or vaccination records.
  • It is possible that in future Off Site Activities will be co-ordinated via SOCS, and this person will oversee and plan both the transition period and the daily operation once in place.

Administrative Support to the School's Co-Curricular activities:

  • Providing all administrative support for co-curricular activities, as directed by the Assistant Head (Co-Curricular). This would include the areas of Activities Week, Clubs, Societies, Combined Cadet Force, Duke of Edinburgh and other co-curricular activities.

These administrative tasks will include:
a. The oversight of all payments for the trips on the School's Gateway system

b. Collection of all documentation associated with the activity - including risk assessment and participant lists.

c. Associated communications with parents.


Administrative responsibility for the Senior School Calendar:

  • Responsibility for the administration of the Senior School Calendar

This role will include:
a. Managing all requests for items to be placed on the School calendar and liaising with the Assistant Head (Co-Curricular) prior to the items being posted on the Calendar

b. Ensuring that the Calendar remains up to date and the information within it accurate.

c.

Providing support to the School Calendar Administrative Leads at the Junior and Pre-Prep Schools so as to ensure that a Whole School approach is adopted to the Calendar.


Other duties:


  • Acting as a member of the wider Whole School administrative support team and providing cover and support for colleagues as and when required.

Providing cover for Reception (eg:
over part of lunchtime) as part of the group of support staff fulfilling this role.


  • Providing additional administrative support for the School on ad hoc administrative tasks as required and as agreed with the line manager (eg: Reprographics, HR or Admissions related support).
  • Involvement with the School Open Days and events.
  • Assuming the role of one of the Support Staff 'IT Champions' specifically providing support to other Support Staff in the School Calendar system. This support is likely to include 1:1 support and occasional training of larger groups of Support Staff.

Holiday Entitlement
