Personal Assistant
The post holder will be responsible for managing all administrative aspects of the office of the Partnership Deputy COOS.

Maintain efficient and effective integrated office support services within the service and manage the work program of the OperationalManagement Groups.

You will demonstrate excellent organizational skills and the ability to use own initiative to effectively prioritize your workload when providing PA support to the Partnership Deputy COOS to deliver to an integrated agenda, the extent ofand level to which direct liaison with partnership organizations and key stakeholders occur demands of the post holder the highest standards of professionalism, confidentiality and discretion.

Expected to last 2-3 months with possible extension


Hours per week: 37.5 hours per week


Salary:
£16.66 per hour (PAYE inclusive of holiday pay) or £18.01 per hour (Umbrella)


Skills Experience and Knowledge

  • 2 years NHS experience
  • 2 years' experience in a PA or similar role
  • Managing busy workload and conflicting priorities
  • Handling confidential and sensitive information in accordance with the Data Protection Act
  • Full range of administrative procedures, software program
  • Relevant Trust policies and procedures
  • Extensive use and knowledge of all Microsoft Office programs; Outlook, Word, Excel and Publisher
  • Knowledge of RIO
  • Works without supervision, advice available from line manager when required

Main tasks and responsibilities:


  • Provide a full PA service to the Partnership Deputy COOS including the taking of dictation, typing, word processing, photocopying, faxing and filing; the production of reports/collating of data as and when requested.
  • Maintain an effective and efficient brought forward system with any associated documentation and collate any data/information on key development projects on behalf of the Partnership Deputy COOS
  • Manage the Managing Director, Clinical Director and Head of Nursing diary, including the arranging of any meetings taking account of time constraints and the commitments/priorities of the Partnership Deputy COOS
  • Liaise with the Senior Managers as required in the organization of the service lines corporate functionality.
  • Ensure the Senior Management team must hand all necessary papers, documents and/or reports in addition to those required for any scheduled meetings or committees.
  • Receive visitors for the Senior Management team appropriately.
  • Deal with routine correspondence on behalf of the Senior Management Team, including preparing letters and reports for signature.
  • Ensure the speedy and efficient dispatch of incoming post and telephone messages.
  • Receive all incoming post, collating where required with previous related correspondence before passing to the Partnership Deputy COOS and prioritizing the same day.
  • Receive telephone calls and deal with them appropriately.
  • Provide accurate computerized reports as and when requested.
  • Organize seminars and other key events internal and external to the service lines as required.
  • Ensure that there is comprehensive administration support and that work is prioritized in accordance with service need.
  • Be flexible to the needs of the service lines and ensure cover for all aspect of administrative work.
  • Establish office procedures which reflect good office practice.
  • Ensuring the implementation and maintenance of effective client and team filing systems, ensuring that client records are kept safe, confidential, up to date and accessible.
  • Managing and contributing to the administration and organization of team meetings as required.
  • Taking minutes of meetings, distributing as appropriate and within timescales and taking administration follow up acting on own initiative.
