We are a busy St Andrews-based holiday let management business serving 100+ properties across St Andrews and the East Neuk.

The Operations Administrator Assistant role has several important elements to ensure the smooth running of the housekeeping operations part of the business as we grow and develop.


Operations Administration Assistant/PA role to include (but not limited to):

Scheduling

  • Assist the Housekeeping Operations Manager and the Maintenance supervisor to schedule the daily, weekly and monthly tasks to successfully run our operation.
  • Use of multiple software programs to pull together a coherent plan that incorporates the demand for our holiday let properties, our staffing levels and various other factors.
  • Work with our housekeeping and maintenance team colleagues to assess availability and predict our staffing requirements.
  • Liaise with our housekeeping and maintenance team colleagues for basic HR requirements, holidays and other needs.

Supplies management

  • Assist and liaise with the housekeeping teams to manage our critical supplies:


  • Linen

  • collating and inputting the linen count figures on a weekly basis
  • Welcome pack supplies
  • Cleaning supplies

Personal Assistance

  • Assist our Housekeeping Operations Manager and Maintenance Supervisor with paperwork and receipts.
  • Organise meetings and schedules where appropriate
  • Input receipts and times into job timesheets and costing sheets for accounts.

Experience & Required Skills

  • Any logistics/scheduling/organisational planning experience would be preferred.
  • Familiarity with various software packages
  • Google Sheets, Docs, Gmail which are transferable to the several software packages we use to run the business
  • Excellent interpersonal skills required.
  • Keen cando attitude required must be enthusiastic, hardworking and flexible.
  • Ability to think on your feet and adapt to evolving and pressured situations a must.
  • Computerliteracy essential.
  • Driving license essential due to the nature of the business.

Location


Primarily based in St Andrews between our office on South Street, St Andrews and our operations depot 5 mins outside St Andrews.

It may be necessary to visit our sites under management in the course of business.

Salary:
£20,000.00 per year starting
