About the Role
The main focus of this role will be to support the Senior Management Team (SMT) with effective and timely administration, ensuring that its worldwide activities are effectively managed and compliant with group policies.
Attention to detail is a must have in this role together with the ability to prioritise time effectively due to the various responsibilities.

- Provide administrative support to SMT, including meeting coordination, compiling board packs, keeping all documents and records organised and in order ready for auditing and legal purposes.
- Support embedding the Business Development Framework by assisting SMT with further developments, and rolling out improved policies and procedures as and when required.
- Coordinating the administration of Investment Committee business case assessments, ensuring that appropriate documentation is completed, reviewed, approved, and submitted in line with group prescribed requirements and deadlines.
- Liaising with the Group Administration Team as appropriate to coordinate diaries.
- Any other adhoc duties that may be required from time to time such as support with arranging company events.
- Administration and management of the Vantage system for Agency due diligence to ensure necessary compliance actions are completed timely for both new and existing agents.
- Supporting the business with the effective close out of internal and external audit points.
- Coordination of the SMT calendar, arranging meetings, taking minutes, following up actions with actions owners.
- Facilitate, administer, and manage a rolling annual schedule of business meetings to ensure effective and smooth running of such meetings. This will include timely collation of relevant materials including Agenda, Minutes, Action Follow Ups and Board Pack completion and distribution.
- SMT travel and diary management in support of the above.
- Experience in working in a professional services environment in a similar role (preferable)
- Friendly attitude and excellent communication skills both verbal and written
- Ability to speak Portuguese (preferable but not essential)
- High degree of professionalism
- Ability to work on their own as well as part of a team
- Great attention to detail
- Ability to prioritise and organise tasks effectively
- Comfortable using various IT systems
