Job summary

We are seeking an experienced Office Manager or Site Administrator to join our team in Coventry on a temporary contract running until the end of November. The successful candidate will play a key role in ensuring the smooth day-to-day running of the site, supporting operational and administrative functions.

Responsibilities

  • Manage DSE (Display Screen Equipment) risk assessments for the site, reporting and correcting issues where possible.
  • Provide general administration support including filing, writing letters, taking notes, and creating presentations.
  • Prepare, collate, and complete data for weekly and monthly reporting deadlines.
  • Take minutes and meeting notes, distributing them to relevant stakeholders.
  • Order and manage office supplies and stock within a fixed budget.
  • Ensure all colleagues are trained in line with both hard and soft FM (Facilities Management) requirements.
  • Create and maintain effective administrative systems across the site.
  • Support engagement initiatives to promote a positive working environment.
  • Identify and support the development of team members, contributing to succession planning.
  • Use internal HR systems and processes to support best practice in people management.
  • Oversee payroll and absence management processes to reduce disruption and maintain engagement levels.
  • Provide financial administration support where required.
  • Demonstrate professionalism and uphold company values in all activities.

Qualifications

  • Qualified and experienced in administration or office management.
  • Strong organisational skills with a high attention to detail.
  • Excellent written and verbal communication skills.
  • Able to manage multiple priorities in a fast-paced environment.
  • Confident with Microsoft Office and other relevant software systems.
  • A proactive and positive attitude, with the ability to work independently or as part of a team.
