Purpose of the Role:

We do this by nurturing and maintaining excellent and effective relationships with funding bodies, employers, learners, and other relevant stakeholders.


Reporting to the Delivery Managers this role is for a key person who will bring synergy between key departments within the organisation such as: Operations, MIS and Compliance and administration.

A typical example of this would be ensuring that operational performance and funding evidence is submitted in a timely manner to head office and is compliant.

Subsequently ensuring the evidence is reflected on our MIS systems. We would expect them to have the ability to manage the workflow and meet expectations.


Key Responsibilities:


  • Have experience in an administration preferably with ESFA experience.
  • Understand contractual requirements & KPIs with a focus on those of a customer service and quality nature.
  • Ensure that any assigned corrective actions and development work is carried out by the agreed deadlines.
  • Day to day coordination of administration team in line with daily expectations
  • Ensure to use the appropriate lines of communication to ensure that matters are escalated effectively between departments and through the right channels
  • Ensure that compliance meets the expected high standard
  • Ensure that funding evidence has been submitted and correctly processed as per company policy
  • Monitor and drive performance of key submission / compliance KPI's
  • Managing learners
  • Make sure classroom records are updated to ensure data compliance and reporting levels are maintained.
  • Work with other staff members to develop a greater understanding of the business and any issues that arise
  • Collect, analyse, and utilize data to highlight issues with process and escalate to Delivery Managers
  • Provide training for staff and partners in systems, compliance, customer service and funding rules as appropriate.
  • Facilitate the process of paperwork submission with the local and centralised administration teams across Traineeships/AEB/Adult Learner Loans/skills for growth
  • Improve program effectiveness by implementing process improvements in, procedures, documentation, and other materials in conjunction with Head of compliance/Head of quality.
  • Support the operational management of audits, sampling and reporting to all relevant external agencies and stakeholders
  • Ensuring accurate data entry and management of central systems (Including PICSWeb, E-Portfolio, client management systems and records

Key skills:


  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and the ability to communicate concerns, and complex/contentious issues in a diplomatic manner that does not offend or escalate
  • Ability to deal with changing priorities, work under pressure, work to tight deadlines and be flexible
  • Ability to work collaboratively with staff at all levels across the Company and with external stakeholders and committed to teamwork
  • Be able to identify risks and suggest fixes
  • Able to keep projects moving and resolve delivery problems to ensure successful completion
