We are currently looking for an enthusiastic staff member to join our secretarial service at the Christie at Macclesfield for 30 hours per week in an interesting and varied role supporting the Oncology Consultants and their team.


Working on his/her own initiative, alongside the admin support, the secretary will be responsible for the provision of a full secretarial and administrative support for the Oncology Consultants and their team, ensuring a high standard of PA/secretarial duties is maintained and deadlines and audio typing targets are met to meet patient needs.


This will include keeping accurate, up to date records; ensuring the smooth running of clinics; and maintaining accurate waiting list information.

Proficiency in using a range of computer packages including patient information systems is required to provide a comprehensive and efficient service.

The role will include working 30 hours per week, ideally over a 5-day period.

  • To provide full secretarial and PA support to the Consultant(s) and his/her team, ensuring a high standard of secretarial duties are maintained and deadlines are met to meet patient needs.
  • Prioritising of priority and acting on matters which can be dealt with without further reference.
  • Appropriately disseminate a variety of correspondence/documentation, some of which is highly confidential.
  • Effectively monitoring of clinic templates liaising with clinical team and appropriate administration staff to ensure clinic numbers are manageable.
  • Liaise with staff at all levels both internally and externally, answering written and verbal enquiries when necessary, acting on all matters which can be dealt with without further reference.
  • Answer written and verbal enquiries from patients/relatives, referring enquiries to Consultants only when necessary.
  • Liaise with internal and external departments to arrange clinical investigations/ procedures.
  • Receive new patient referrals and organise appointment/admissions and arrange treatment as required.
  • Contribute to the appropriate management of the waiting list, particularly in relation to patients who fall within the twoweek wait category
  • Ensure case notes are kept up to date and that all investigations and other material (outside notes and films) are available for clinic appointments/admissions.
  • Coordinate case notes and reports where necessary.
You will work with an interesting and engaged team, in brand new facilities. The Christie at Macclesfield will provide care closer to home for a significant number of patients.


The cancer centre will provide a range of holistic services including radiotherapy, chemotherapy, immunotherapy, hormone therapies, haematology treatments, outpatient care, nurse led clinics, counselling services, an information centre, palliative care and a wide range of clinical trials.


SPECIFIC DUTIES AND RESPONSIBILITIES:


  • Liaise with all consultants in your area of responsibility to provide a full secretarial service, including all administrative duties and dealing with mail, which includes placing it in order of priority and acting on matters which can be dealt with without further reference.
  • Appropriately disseminate a variety of correspondence/documentation, some of which is highly confidential.
  • Effectively monitor clinic templates liaising with clinical team and appropriate administration staff to ensure clinic numbers are manageable. Escalating to Admin and Service Managers when appropriate.
  • Liaise with staff at all levels both internally and externally, answering written and verbal enquiries when necessary, acting on all matters which can be dealt with without further reference.
  • Answer written and verbal enquiries from patients/relatives, referring enquiries to consultants only when necessary.
  • Liaise with internal and external departments to arrange clinical investigations/procedures.
  • Ensure accurate input of patient details when entering data onto information databases and Patient Administration System (Careflow) including routine use of the case note tracking system.
  • Receive new patient referrals and organise appointment/admissions and arrange treatment as required.
  • Contribute to the appropriate management of the waiting list, particularly in relation to patients who fall within the twoweek wait category

  • Contribute to the training of new members of staff within a given area as required.
  • Ensure case notes are kept up to date and that all investigations and other material (outside notes and films) are available for clinic appointments/admissions.
  • Ensure all relevant information is available for multidisciplinary meetings for your team. Coordinate case notes and reports where necessary.
  • Deal with stressful phone calls which can be emotional / abusive and of a sensitive nature from relatives/patients.
  • Provide information if required to support the investigation of litigation cases.
  • Provide statistical information to the Information Department if required.
