About the role
This role is key to supporting our Client Directors, enabling them to be effective in their roles. This role has a specific focus on diary management and managing the Client Directors time effectively.

You will be working within a supportive team and work closely with the other assistants to ensure the office runs smoothly.


Your duties will include:

Responsibilities:


  • Work directly with Directors to support all aspects of their daily work routine and act as the point of contact among employees, clients, and other external partners.
  • Comprehensive diary management for multiple Directors, including scheduling meetings, appointments, speaking engagements, and travel. Exercise discretion in committing time and evaluating needs, maintaining the confidentiality of highly sensitive information. Manage responses and take ownership of diary and rearrange meetings as necessary.
  • Keep the Directors advised of timesensitive and priority issues, ensuring appropriate followup.
  • Arranging meetings, managing the online room booking system, booking venues, preparing videoconference equipment, and organising catering for events.
  • Liaising with clients & their PAs to arrange meetings and events.
  • Support organising internal events and assisting with onsite events.
  • Maintaining a strong working relationship with other Business Support Teams.
  • Working closely with the other PAs and office team to ensure a smooth running of the office and provide cover when other PAs are on leave using independent judgement and initiative.
  • Play a key role in the coordination of team efforts both within and outside the department.
  • General adhoc office duties such as the occasional ordering of office supplies.
  • Routinely perform a wide variety of support duties.

What we are looking for:


Essential
Skills and Qualifications

  • Proven experience working as an Assistant, or similar role in Professional Services or Financial Services.
  • Exceptional communication skills with senior executives and the ability to express yourself clearly and succinctly both verbal and written.
  • Must be a team player with a proactive style and cando attitude, who takes initiative and demonstrates a willingness to help others.
  • Ability to work in a fastpaced environment without supervision.
  • Exceptional organisation, time management and attention to detail skills and commitment to delivering quality work.
  • Ability to manage multiple priorities and stakeholders. You must be capable of adapting to conflicting demands.
  • Ability to plan and schedule workload, deal with several tasks simultaneously, and cope well under pressure.
  • An anticipative and independent thinker, able to cope with charming yet demanding personalities.
  • Excellent knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook, and Teams)

Package & Location

  • You will receive a total cash package of around £35,000 consistin
