The Role and Department


The Level 7 Archivist and Records Manager Apprenticeship is a new programme designed to provide a professional qualification for anyone not wishing to pursue a traditional degree-based academic qualification.

The Apprenticeship is for a fixed term of 3 years and eight months, until 31st March 2027. You'll start on a salary of £20,948pa (Grade 3) which includes 27 days annual holiday and excellent benefits.


Over three years you'll spend four days per week working in the Durham University Archives & Special Collections and one day per week learning about archives management with an external training provider.

The last six months of your contract will be dedicated to a project and assessment based on your work here at Durham.

On completion of the course you'll be a qualified archivist ready to begin a career in the sector.


During your time in Durham you'll be involved in a aspects of the work of the Archives & Special collections team, supporting the care of and access to our internationally important collections.


The collections at Palace Green Library contain exceptionally rich and varied material, dating from the early medieval to modern periods, including: archives, rare and open-access books, maps, prints, photographs, born-digital and digitised material and some museum objects.

Specific Role Requirements


To fulfil the terms and conditions of the apprenticeship, the post-holder will be required to complete training on a weekly basis towards the Apprentice Standard in Archivist and Records Manager at Level 7.


Typical Role Requirements


Here are the kind of activities that you'll be asked to undertake and ways in which you'll be expected to operate.


Service Delivery

  • Log and record accurately information about enquiries, and where appropriate pass it on for action by other team members.
  • Follow established procedures when carrying out your role and refer to more senior team members when necessary.
  • Undertake copying of original Archive & Special Collections items for users.

Teamwork/Liaison

  • Assist team members in retrieving and returning Archives & Special Collection items from strongrooms, showing items appropriate care and respect.
  • Carry out, with indepth training and guidance from senior team members, collections management tasks that require specialist skills, including: packaging of documents, surveys of collections, accepting donations of records, choosing what to keep, arranging them in order, cataloguing to make them findable, and service management
  • Assist other team members in delivering teaching and engagement activities.
  • Help and cooperate with the rest of your team on operational matters to help achieve shared objectives.
  • Help carry out stock and inventory checks.
  • Administrative activities including: opening and closing routines, processing bookings, arranging and recording payments for services, creating lists, filing, and recording and analysing statistics.
