Young Farmers is a national voluntary youth organisation offering its members, who have an interest in the countryside and rural issues, opportunities for training and personal development, community involvement, participation in numerous competitions and events, together with a varied social life.

Herefordshire Young Farmers Federation is made up of 14 active clubs with about 500 members aged 10-28 years old, coming from a huge variety of backgrounds.

County Administrator Vacancy


Herefordshire Federation of Young Farmers' Clubs has an exciting opportunity for an enthusiastic and dedicated person to support the day to day running of the Federation.

The role would be primarily based in our Hereford office, working alongside some of the brightest and most enthusiastic young people in the county as well as solo office duties.


This is a permanent role, for a 30-hour week with flexibility required to travel to attend meetings and events held outside of core hours.

Within the core hours, the post holder will be required to work Monday evenings pm. We would also consider doing a job share with 2 employees.


They will provide administrative and organisational support across all Young Farmer competitions, activities, and events, which will help our members to make the most of their development, training and social opportunities.

They must have excellent communication skills and be both social media and IT proficient.

Herefordshire Federation of Young Farmers' Clubs (HFYFC) is a membership organisation with approximately 500 members and associate members in 14 active clubs.

The Young Farmers movement is a national youth organisation offering opportunity and training to its members as a means of personal development, community involvement and with an interest in rural and countryside issues.


JOB PURPOSE


1 To provide an efficient administrative service from the YFC Office to enable the democratic principles and the programme of the Herefordshire Federation of Young Farmers' Clubs to function effectively.


2 To help with the dissemination of information and to provide a communication service from the County Office to the members, Officers and others interest in the Federation.

3 To work with County Officers in the promotion of the Federation and its Clubs.


RESPONSIBLE TO:

4 The Management Committee represented by its Line Manager.


RESPONSIBLE FOR:

5 No staff members are currently responsible to this post.


KEY RESPONSIBILITIES


6 To assist with the organization and administration of the business of the Executive Committee and the sub-committees: Competitions, Events, Training, Promotions, Sponsorship and Junior Forum.


7 Working closely with the Officers of the Federation, including the Health & Safety Officer and Safeguarding Officer, other HFYFC staff, other County, Area and National Federation of Young Farmers' Clubs (NFYFC) staff at all times to enable the Federation's programme of competitions and events to function successfully.

8 To monitor and evaluate the participation of the Federation's membership in the County programme.


10 To maintain the County diary, including managing the bookings of the YFC Centre facilities and equipment hire by members and third parties.


11 To maintain display boards at the YFC Centre in conjunction with the Promotions Team and keep the Centre in an orderly condition and manner liaising with the YFC Centre's caretakers and cleaners where necessary.


12 Maintenance and management of the Disclosure and Barring Service (DBS) checks and records together with up to date and full membership records and, using the YFC Membership Database system (SILO), ensure annual returns are filed with NFYFC on time and fully in compliance with GDPR regulations and requirements.


14 To work closely with the Federation's Treasurer, assisting where necessary with banking, invoicing and payment of the cleaners and caretakers.

Taking full responsibility for the petty cash box and ensuring that the transactions balance as directed by the Federation's Treasurer.


16 To produce and send out as appropriate, agendas, minutes and associated documentation for County Committee meetings in conjunction with the Officers of the Federation.

The agendas are to be circulated 2 weeks in advance of the meeting, minutes circulated within 2 weeks except where noted by the Constitution.
