Office Coordinator

We're looking for an Office Coordinator to join our team on a full time basis to support the Management team with administration tasks relating to the office and also technical administration tasks.

You'll be working at our site central London


About the Role:


  • Managing visitors.
  • Manging Pool cars including tracking the business sign off process in order to see requirement requests.
  • Stationary management maintaining and reordering basic stationary supplies.
  • Managing room bookings as appropriate
  • Supporting events with basic arrangements ie preparation of rooms, ordering food/ refreshments, tidying up after completion etc.
  • Managing receiving deliveries and advising recipients as appropriate.
  • Managing site access cards, including working with the site landlord.
  • Cleaning services management of contract provider, including POS, record, process, quality.
  • IT Equipment distribute received IT equipment appropriately when it is delivered to site for new starters for example. Be focal point for recovery of IT equipment being returned and arrange for it to be returned to Lotus Hethel
Work with and support the Director responsible for the facility on the topic of:

  • Records for waste management
  • Records for utilities and consumption
  • Equipment calibration & certification
  • Fire Alarm Service, Test and Inspections
  • Emergency Lighting Service, Test and Inspections
  • PAT Testing
  • Fixed Wire Testing
  • Signage
  • Legionella treatment arrangement
  • Evacuation plans
  • Weekly fire alarm checks
  • Fire evacuation practices


This is a key role to support the smooth management of the London site, you'll be given the flexibility to manage your own workload.

We'll give you all the training necessary on our bespoke systems and processes.


Skills/ Experience required:


  • Technical Administration experience
  • Excellent IT skills (Excel, Word, Powerpoint)
  • High level of administrative capability
  • Great attention to detail
  • Good team player
  • Ability to work unsupervised and on own initiative
  • Experience working with confidential data
This role will need to be based from our London office W1F - Moving to Farringdon in the future
