Executive Assistant - London / Hybrid


Are you a highly experienced Executive Assistant with the ability to quickly understand a team's priorities and dynamics? Are you able to organise meetings with multiple attendees and across multiple time zones on a regular basis? If so, then we'd love to hear from you in connection with this brand new, exciting role with Aon providing executive assistant support to Aon UK Ltd Chairperson and AIL Chairperson.

This is a hybrid role with the requirement and flexibility to work both virtually and from our London office.

What The Day Will Look Like:

  • Supporting a lively, dynamic team of 5 NED board members who are regularly travelling and networking across the business and who also have other non-Aon commitments including meetings with other organisations and travelling in other countries and time zones, your wide and varied role will include:
  • Proactively managing diaries, expenses, and internal and external meetings including all catering, equipment, and logístical requirements. This includes handling incoming messages effectively and efficiently, acting as a key contact in the NED absence.
  • Planning and arranging cost effective global travel through Aon systems.
  • Preparing papers and agendas for meetings and when required, taking minutes, and supervising agreed actions.
  • Assisting in the production of presentations and related materials in line with Aon brand.
  • Supporting Aon's Corporate Social Responsibility agenda through engagement, planning and delivery of key initiatives.
  • Building networks with other PA's regionally and globally and with relevant administration and operations contacts.
  • Proactively recommending and making changes to improve operational and administrative efficiency and effectiveness.

Skills And Experience That Will Lead To Success:

  • Executive Assistant or Senior PA experience at Executive Leadership and/or Board level, ideally within a Financial or Professional services firm.
  • Project coordination experience.
  • Intermediate skills in Excel, Word, PowerPoint.
  • Experience of working in a client facing and fast paced and changing environment.
  • Ability to multitask and prioritise workload.
  • Excellent interpersonal skills and a sense of humour.
  • Collaborative approach.
  • Ability to deal with ambiguity and change.
  • Resilient and with the ability to work independently as a selfstarter
  • Proactive, including suggesting approaches for resolving issues or improving process.
  • Ability to ensure the highest level of confidentiality at all times.
  • Previous experience of supporting Corporate Social Responsibility initiatives would be helpful but is not crucial.
