Summary

We are looking for and administrative officer to join Harris Primary Academy Shortlands, with specific responsibilities surrounding attendance and admissions.


The working hours for this role will be Monday to Friday, 8am-5pm (42.5 hours per week), term time + 10 days.

Main Areas of Responsibility

In this key role, you will:

  • Assist the Senior Leadership Team (SLT) in the management and development of attendance and punctuality policies
  • Monitor and follow up on attendance and punctuality, including early calls on the attendance of absent pupils
  • Participate on late desk
  • Make home visits with the Education Welfare Officer or member of SLT
  • Communicate with parents regarding attendance matters
  • Ensure the smooth operation of the computerised registration system
  • Ensure daily attendance information is entered accurately onto the system
  • Establish reasons for absences via telephone calls, letters and home visits
  • Prepare and distribute attendance and punctuality certificates
  • Follow up on poor attendance or punctuality via meetings and home visits
  • Alert the appropriate staff to problems experienced by pupils and work collaboratively to resolve these
  • Meet with LAC students and pass on any relevant information regarding their welfare
  • Administer admissions in to the Academy, including coordinating and attending open mornings and acting as main point of contact for parents, students, staff and Local Authority Admissions Team
  • Ensure that transition and enrolment with the Academy goes smoothly
  • Coordinate appeals
  • Administer In-Year admissions
  • Assist with offrolling and transferring files for leavers

Qualifications & Experience
We would like to hear from you if you have:

  • A good standard of education especially in literacy and numeracy Sound knowledge of Microsoft software
  • Knowledge of MIS system for input and export of student attendance data and the generation of reports.
  • Training on MIS in relation to attendance and report generation
  • Knowledge of attendance policies and procedures
  • Knowledge of the range of agencies that work with students and their families
  • Basic knowledge of first aid; e.g. emergency first aid course or willingness to undertake training
  • Knowledge of a range of attendance codes and when they can be used
  • Knowledge of many of the social issues facing students from disadvantaged background
  • Two years' experience of working in an educational establishment
  • Experience of meeting with parents/carers formally and informally
  • Experience of managing attendance systems
  • Experience in a similar role
  • Ability to effectively prioritise own workload.
  • Experience of working with primary age pupils
