Hours 37.5 9am to 5pm Mon to Fri

J ob Summary
The postholder is responsible for delivering business management support within the CITI Operations Team.

The main purpose of this post is to provide direct business management support within the operations team to ensure work is coordinated and actionedin a timely manner.

The post holder will support the operations team to be effective in undertaking work that is assigned to support the wider CITI team.

The post holder will be responsible for working with the Business Support Officers to plan the diaries,commissioning and quality assuring briefing materials, ensuring that matters the Director is responsible for are recorded and that action is commissioned, followed up and delivered.

The post holder will have a lead role in the administration of recruitmentwithin CITI


The role will also provide support to the CITI Digital Development and Business Delivery Manager in the effective management of CITI and its Business Management Office undertaking any other duties which may become necessary for its efficient running.


The Business Management Office plays a key role as an integrated and streamlined support function to the CITI and it provides the firm foundations which enable the various projects to focus on delivery.

The key functions of the team overall will includeproviding a secretariat, administration support for the team, robust HR and procurement advice and support, preparation of budget reports and intelligence, communications and marketing for the projects and initiatives CITI undertakes, resource management,quality management, and management of network events.


D uties and Responsibilities

  • Responsible for the daily running of the CITI office and supporting the business management function to ensure the office is maintained for all internal and external visitors
  • Responsible for ensuring best practice and ways of working is being adopted by internal and external visitors of CITI
  • Attending key meetings and undertaking follow up actions/projects as appropriatemonitoring delivery by others, challenging and securing agreement to take on actions, briefing others and reporting back as necessary.
  • Working with other directors/staff in the achievement of outcomes from such meetings.
  • Take executive responsibility for tasks delegated by the senior team and including working with Business Support Officers to ensure the diaries are appropriately planned to deliver the prioritised objectives of the Trust's objectives.
  • Will use judgement to decide whether to commission briefing and then ensure it is delivered in time and to quality and take remedial action diplomatically and assertively where necessary.
  • Exercise delegated authority to plan, monitor and manage initiatives and projects when indicated to ensure actions following meetings and regular reports are completed. Ensuring colleagues receive feedback and action point as required.
  • Use persuasion and influence to negotiate outcomes and deadlines so that projects are completed in a timely fashion.
  • Use autonomous discretion as to when to involve senior managers, including the
Director, in specific matters.
