Practice Administration Assistant

Responsible to:

Deputy Practice Manager and Partners


Main Purpose:


To ensure the smooth running of the practice operational and administration systems and functions, and provide cover and support to the practice administration team.


Main Responsibilities:

To carry out practice administrative tasks on a
day to day operational basis ensuring that services are delivered:

  • In a coordinated and efficient manner.
  • To work with other administrators and healthcare professionals to provide a first class service to our patients. Provide the first point of contact for patients and other stakeholders/visitors (either face to face or on the telephone) and provide administrative support.
  • In accordance with the service specification and clinical key performance indicators.
  • In line with national, local and organisational priorities in order to affect good access for patients and to maximize activity and opportunity.

Main duties:


  • Ensure incoming documents and test results are scanned to patient records and referred to appropriate clinician for action.
  • Ensure medication reviews are arranged by maintaining an accurate recall system
  • Administration and computer inputting
  • Scanning Private Medical Attendant (PMA)/General Practitioner Reports (GPR) onto the system and recording information/dealing with queries relating to PMAs/GPRs.
  • Responding to Subject Access Requests (SARs) in accordance with GDPR
  • Organising copies of medical records requested by solicitors, etc. Documenting all paperwork for the doctors and passing it to them.
  • Scanning miscellaneous patient reports onto the computer.
  • Producing invoices for reports and chasing outstanding payments.
  • Reconciling incoming cheques received and filing invoices.
  • Paying cheques and monies into the bank.
  • Have knowledge of responsibility regarding Health and Safety at Work Act.
  • Have knowledge of the roles of others within the immediate team, to enable cover to be provided due to sickness or annual leave.
  • Any other duties seen to be necessary by the post holder or practice management.

Part-time

£10.45 per hour
