Job Description:


  • This role is parttime and can be worked between 8am2pm in the office in Harwell
  • You will be responsible for hospitality and travel coordination for visitors to the Global Innovation Centre.
  • This will include the coordination of the visitor experience; working with the meeting host to coordinate accommodation, refreshments, and logistics.
  • You will report to the Executive Assistant, working closely with them and our customer facing team, providing support as required.
  • You will need a meticulous approach to organisation and the ability to work with independence and discretion.

Duties and tasks

Hospitality

  • Support visitor meetings by arranging refreshments, in house and with local supplies.
  • Arranging site tours, including seeking approvals, coordinating tour guide and ownership of tour process documentation
  • Maintaining standards of customer facing meeting rooms
  • Ownership of E6 Hub GIC hospitality page, ensuring information is up to date
  • Desk/hot desk management

Travel coordination

  • Arranging accommodation and transfers for clients and Group Visitors to GIC
  • Maintaining regular relationships with local accommodation providers including site visits
  • Lead contact for Travel Management Company
  • Providing support for GIC employees with travel queries
  • Managing all taxi bookings
  • Maintaining Short Term Business Visitor records

Ad hoc

  • Deputising for Executive Assistants
  • Carry out other reasonable tasks, defined by the business that may be required from time to time.

Qualifications:


  • Experienced in communicating with people at all levels in a professional, polite and confident manner.
  • Ability to multi
- task and work in an environment where each day is different and priorities change frequently.

  • High level accuracy and attention to detail.
  • A flexible approach to duties and support are critical to successfully deliver this role
Additional Information

This role is part-time and can be worked between 8am-2pm with a 30 minute break for lunch.

You will need to work on site as you learn the role and on any day we have visitors or hospitality requirements, with occasional flexibility to work from home.
