Office Receptionist and Administrator
Responsible to:
Operations Manager
Work Base Victoria Park Community Centre, Bridgwater
Salary £11,232 per annum (£12.00 per hour)
CONDITIONS OF EMPLOYMENT
Term 12 months fixed term contract, which may be extended if funding available.
Working Hours Part Time - 18 hours per week
Monday to Thursday, 8.30am - 1pm
Annual Leave 28 days (FTE) including bank holidays = 101 hours
Probationary Period 3 months
Notice 1 month from end of probation.
JOB PURPOSE
Diversity Voice (DV) is a small Somerset based charity who work to prevent discrimination and social inequality for local members of the community across all of the protected characteristics.
As a part of our work we help refugees, asylum seekers, migrant workers and local people whose first language is not English (EAL).
We provide support by offering English classes, interpretation, translation and advice in order to help EAL individuals and communities living in Somerset to overcome barriers to participating fully in the local community.
We seek to prevent discrimination and promote social inclusion.
The Office Receptionist and Administrator will have a key role in Diversity Voice, welcoming guests and clients to our offices and liaising between service providers, service users and the team.
They will support the day-to-day running of the office, and the work will include managing diaries, recording bookings, producing excel reports, answering the phones, and generally supporting staff members, contractors and volunteers.
Office Receptionist and Administrator - Specific Roles and Responsibilities- Welcome guests to our office and answer their queries or direct them to the correct member of staff.
- Keep a record of meeting room bookings.
- Answer and deal with reception enquires.
- Answer and field telephone calls and messages, including monitoring of the answer phone messages.
- Carry out general administration duties for the team.
- Maintain the staff rotas (office/flexible working)
- Provide administrative support for projects.
- Input data to excel spreadsheets and produce reports.
- Keep office records organised.
- Maintain library of office resources (e.g reference books) and update the list of resources out on loan.
- Keep offices tidy and ensure all equipment is neatly stored.
- Provide holiday cover for other administrative staff.
- Help to organise community events.
- Undertake any other duties that may be reasonably required by the Team.
- Promote the values of DV at all times.
- Promote and follow all policies adopted by the Board of DV
CANDIDATE SPECIFICATION
Essential Skills
- Able to engage positively and sensitively with people across all the protected characteristics and across a wide range of intersections of other identities so that others feel seen, valued and included.
- Able to work successfully as part of a team.
- Fluent in spoken and written English
- Confident and capable in the use of Microsoft Office principally Outlook, Word, Teams, Calendar and Excel
- Able to analyse data in excel spreadsheets and create written reports summarising the figures and including explanations.
Essential Qualifications
- GCSE or equivalent in Maths and English
