Description

The Research Administrator is an integral part of the research team with a primary responsibility to provide effective administrative support for clinical trials and research projects as part of the research team.


The post-holder will work closely with the wider team in research along with the clinical teams; support services; relevant stakeholders both internal and external; to provide effective administrative support for clinical trials and research projects being run at the Trust.


The post holder will lead on administrative tasks and maintaining documentation for multiple local and multi-centred clinical trials and provide effective co-ordination and administrative support as part of the research team.


Duties will include assisting the governance team with the set-up of clinical trials; liaison with external trial sponsors; maintaining site files & other relevant paperwork throughout the lifetime of the study; ensuring secure storage and archival of clinical trials documents and data and providing timely responses to requests for information.

Communication

To act as a point of contact for sponsors and others involved in clinical trial management.


To answer telephone enquiries from the general public and other health professionals in an efficient manner, to take messages and refer callers to the appropriate person within the unit.


To ensure that all patients are aware of their 'patient number', procedures relating to their care and the Trust's confidentiality policy.


To recognise that patients attending the service may experience anxiety and/or embarrassment and to ensure that such situations are handled calmly and tactfully and empathically.

Service Delivery and Improvement


To assist with the preparation of documents for clinical trials and other clerical duties to ensure the smooth running of the unit.

Be responsible for the on-going administrative support for research projects including the maintenance of study site files.

To receive and take appropriate action on incoming telephone calls from patients, staff and external organisations (e.g., study sponsors).

To ensure that during the Clinical Research Associate (Sponsor representative) monitoring visits, all documentation is ready and if necessary, spend time during the visits to ensure the resolution of any queries

To be responsible for preparing meeting minutes, if requested.

To have the overall responsibility of co-coordinating patient bookings for some research studies.

Prepare patient notes, ensuring that there are adequate printed labels and continuation sheets.


To ensure that the patient's medical records are checked, updated and in good order, prior to and following the patient's attendance.

Real-time data entry of study information on to the Local Portfolio Management System.

To register patients on the UHSussex NHS Trust systems where necessary and create a set of case notes.

To pull and return notes to filing, including the pulling of notes for recall and audit purposes.

To enter basic patient and clinical information onto the computer.

To co-ordinate all team room bookings.

To book refreshments for meetings / training events where requested.

Typing, photocopying, posting of documents and the ordering of supplies for research staff.

To open post, distribute and/or deal with queries arising.
