Job Profile:
A FigFlex Receptionist & Administration Support will play a key role in providing a quality first impression for FigFlex Offices centre and for the overall centre/building.
The focus of a RS is to be the first point of contact for all visitors, ensuring that they are provided with the utmost courtesy and professionalism, providing exemplary client service and client satisfaction to both current and prospective clients, as well as working alongside the Building & Centre Manager to drive the business, meeting the expectations and requirements of the client and FigFlex Offices.
Role Responsibilities:
Front of House
- Ensure customer experience of front of house and switchboard services is maintained to the company's high standards.
- Monitor and maintain the standards of the front of house, meeting rooms and support offices.
- Assist with all meeting room bookings, equipment requirement and hospitality arrangements.
- Manage and control access and egress to the building. Issue/collect visitor security passes.
- Manage customer vehicle parking, ensuring spaces are booked when required and clearly marked with a strict approach to car park abuse.
- Perform visitor and new user inductions into building.
- Manage all deliveries into the building ensuring packages and mail are kept safe and are received by the correct body.
- Ensure all issues have been attended to in a timely manner, with progress and record of the outcome to include response times to all requests.
- Ensure all security procedures are always maintained.
- Ability to maintain a professional and customer obsessed culture.
- Ensure preparation and maintenance of all client files / records.
- Handling client enquiries and acting in a timely fashion, overseeing team dealing with daytoday administration.
- Ensuring reception and all communal areas are welcoming, clean and tidy, safe and professional at all times.
- Ensuring full product and service knowledge.
- Ensuring all meeting/training rooms are to a high standard in all areas of the provision, and all members of the team are fully training in the AV equipment to assist clients / customers.
- Ensure general housekeeping checks to all floors, kitchens and toilets are conducted to maintain a high level of cleanliness and ensure that full stocked kitchens and break out areas to include all health and safety elements daily, weekly, monthly.
- Working closely with the Building Manager to support each business functions to ensure standards are maintained and all functions have cover when needed.
- Liaise with maintenance support providers regarding any building maintenance issues.
- Adhere to all company policies and procedures.
- Act as a link between the landlord and clients.
Competencies for the role:
- Two years administration experience
- Must have GCSE's or equivalent
- Must be proficient with Microsoft office tools
- Excellent communication skills.
- Excellent customer service skills.
- Motivated, proactive and enthusiastic individual.
- Ability to work with little supervision and on own initiative.
- Team player and ability to plan, prioritise and implement workload.
- Strong problemsolving skills and lateral thinking.
