We have an exciting opportunity for a Management Assistant to join our Support Services team.

Joining us in the role of Management Assistant you will provide consistent high level support to the Commercial Director, Head of Marketing and the Marketing department alongside support activities across the whole of the Support Services Team as required to meet the demands of the business.


As Management Assistant you will have the ability to prioritise whilst maintaining a flexible approach, managing a workload that feeds from several members of our senior management team.

Therefore strong time and project management skills are a must.

Accuracy is essential and experience of data processing and maintenance with high level knowledge of Microsoft Office, in particular Excel, Word, and PowerPoint.

Experience of providing dedicated management assistant support to multiple Senior Managers is essential.

The ability to multi-task and prioritise the workload is essential as is the ability to co-ordinate and organise Senior Managers diaries and administration.

Ability to work as part of a team is also essential.

Purpose

Profile

Main Responsibilities

Diary management, with the ability to manage priorities and conflicts.

Filter all requests, taking action where possible and only escalating relevant requests etc to the Commercial Director and Head of Marketing.

Implement administration process to effectively track all requests and activity required by the Commercial Director and Marketing Dept.
Collate and produce weekly, monthly and quarterly reports as required for the Commercial Director and Head of Marketing.

Co-ordinate travel requirements for Commercial Director and Head of Marketing, planning most efficient routes, ensuring all requirements are catered for and providing full travel itineraries.

When travelling with colleagues etc also co-ordinate colleagues travel requirements.

As the main administration contact for Linney you will be required to manage the Linney Mailbox, stock management, reporting, system administrator and any additional requirements from the Marketing Team and Customer Services (as owner of the contract).

Provide full administration support for SAP, for the Marketing team, including tracking PRs and budget spend, and liaising with finance to ensure they are raised according to the Marketing teams needs.

Provide dedicated support to the Therapy Review Programme, working closely with the Medical Depart to ensure material is tracked, and managed through Veeva as required.

You will be required to also build close relationships with the third party contractors for this programme.

Establish planning meeting/calls to ensure the Commercial Director and Head of Marketing are fully briefed on upcoming activities and plans and to identify new or upcoming work/priorities.

Provide full administrative support including production of correspondence, presentations, reports, completion of expenses, collation and processing of invoicing, filing and authorisation of direct report expenses etc.

Organise, attend and take minutes Commercial Director's and Marketing team meetings.
