Description
To provide a full administration service to the medical teams of a
designated service within the Clinic Management Group ensuring
that the quality standards of the Trust are met.


The Orthopaedics waiting list team at the University Hospitals of Leicester NHS Trust is a busy and diverse working environment providing a high-quality service to patients and clinical staff with booking procedures.

You will be part of a team of coordinators who offer waiting list management service and you will need to have a flexible approach and a commitment to working as part of a team.


To perform well in this position, you will need to be reliable, a good team player, be able to use your initiative, prioritise your workload.

The ability to work to tight deadlines whilst dealing with frequently changing priorities and be willing to learn and undertake training and development as the role requires.


Excellent written & verbal communication and interpersonal skills are essential as you will be in contact with a range of staff and patients.

The successful applicant will be enthusiastic, confident and self-motivated, enjoy working in a challenging, busy environment and will have experience of working in a busy customer focused environment.


Your work will mainly be telephone and IT based so you should have an excellent customer service background as well as good keyboard skills and proven working knowledge of Microsoft Office packages and HISS are essential.

To provide support and guidance to patients, carers, relatives and others making contact with the service. To prospectively manage theatre slot availability to ensure maximum efficiencies within the service to agreed scheduling ensuring procedures are booked in accordance with Local and National Guidelines in relation to Referral to Treatment


Meticulous attention to detail and organisation skills are necessary for this role, as are excellent communication skills and the ability to work effectively as part of a team as this post will require working closely with a wide range of staff including Consultants, Nursing staff and the Admin & Clerical team so the ability to build relationships is a key requirement.

Experience in HISS would also be desirable.

About the University Hospitals of Leicester NHS Trust: )

  • To receive waiting list slips and make sure they are added to the system within 24 hours.
  • To ensure full utilisation of theatre slots available
  • To ensure all Local and National Standards are applied to the Waiting List, RTT & National Cancer Targets, data quality checks and the UHL Patient Access and Data Management Policy
  • Liaise with Clinicians regarding availability/theatre lists
  • To monitor, maintain and report theatre cancellations and to rebook patients within the 21 day rule policy
  • To ensure casenotes are at the ward ready for theatre if a list is booked at short notice or the notes are within your area.
  • To ensure all patient demographics details are correct, booking of follow up appointments/preassessment appointments on HISS and arranging investigations for patients, thus maintaining full and accurate patient records and manage clinical coding.
  • To manage all alerts from preassessment are correctly inputted onto ORMIS.
  • To order theatre kit and Advanced recovery bed if required
  • To ensure all results are received, collated., prioritised and brought to Clinicians attention
  • Responsible for timeliness, accuracy and integrity of the data recorded on paper and electronic systems
  • Responsible for validation of Data Quality reports as required by the Team Leader
  • Provide cover for colleagues when required
  • Telephone and general office duties.
