As part of the busy team, reporting into our Executive Assistant, you will play an integral role in professionally supporting colleagues, helping to deliver our strategic goals as well as taking ownership of administration duties to ensure our office runs effectively and efficiently.

You will work closely with our Senior Executive Assistant to support the Executive Team who lead PCS, it is your job to provide support to enable the Senior Executive Assistant to provide excellent administrative services.


Key responsibilities:


  • Support the Senior Executive Assistant
  • General Reception duties.
  • Management of meeting room bookings and the arrangement of catering requirements.
  • Incoming post distribution and any outgoing post coordination, including deliveries.
  • Stationery stock control/Photocopier paper & toner replenishment.
  • Ensuring the office is kept tidy.
  • Outlook Diary management/meeting scheduling.
  • Attendance at regular Exec/Committee/Team meetings, including minute taking, chasing up outstanding actions and collating meeting packs.
  • Assist in organising executive itineraries including travel and accommodation.
  • Corporate event support.
  • Provide holiday/sickness cover for EA and other members of the admin team.

Skills and experience required:

Experience as an Administrator/PA.

Experience of minuting meetings.

Resilient, positive, numerate and detail oriented.
Self-motivated, organised, and able to prioritise workloads in a fast-paced environment.
Keen interest in learning and keeping up to date with industry changes.
Excellent verbal and written communication skills.

Knowledge of PCS / NHS advantageous.

Job Summary

  • To provide support to the Senior Executive Assistant to ensure that Executive Team priorities are met, organisational goals are achieved, and best administrative practices are upheld.
  • To support the Senior Executive Assistant to effectively manage the Executive Team diaries.
  • To provide administrative support for a range of meetings, compilation and distribution of reports and papers, minute taking and the management of action trackers. Diarising future meetings and for the chasing of agreed actions.
  • To provide support to the Senior Executive Assistant to ensure the Head Office is managed effectively and efficiently. As well as providing holiday/sickness cover for the Senior Executive Assistant and other members of the admin team where applicable.
  • To undertake IT related administration as required.

Main Duties and Responsibilities

  • Support the Senior Executive Assistant
to service meetings (coordinating the production of agendas and meeting papers for timely distribution in advance of meetings, taking minutes, conveying decisions, and related correspondence).

  • Diary management support for Executive Team (and SMG members where applicable).
  • Support the Senior Executive Assistant
to manage, co-ordinate and arrange Executive travel related activities, including hotel booking, transportation and any other travel related needs or information.


General

The post holder will:

  • Undertake any other duties as required which are commensurate with the post.
  • Ensure that all duties are carried out in line with PCS policies and procedures.
