Job description:


Role Summary:

  • The DD HLB Information Governance Officer manages the necessary structures, controls and monitoring which are in to assure the exploitation and protection of information assets.
  • The DD HLB Information Governance Officer also supports the HLB Data Protection Advisor (DPA) in promoting compliance with the Data Protection Act. This involves ensuring local issues are addressed and that personal data is protected as required.

Hybrid Working


This job role may be suitable for hybrid working, which is an informal, non-contractual and voluntary arrangement, blending a balance of attendance in the workplace (your permanent duty station which is based on business assessment of where the work is best done) and working from home as a personal choice (if the role is suitable for this).

Responsibilities:


Information Governance (IG) and Information Assurance (IA):

  • Ensure that the HLB Business Unit (BU) entries in the Information Asset Register (IAR) are compliant with MOD/TLB policy by conducting periodic reviews. Work with the BU Information Asset Custodian (IAC) to correct identified anomalies. Monitor annual review dates to establish and communicate a forward programme of IAR reviews.
  • Coordinate HLB internal IG meetings (HLB ISSC & IAC Community). Schedule and communicate annual programme of meetings. Book rooms Percentage of Time 40% and visitor attendance for offsite attendees. Coordinate production of meeting materials. Capture and draft a record of decisions, including actions. Monitor and record progress against actions.
  • Assure records of key Information Professionals (IP) in the HLB. Coordinate list of HLB Information Asset Owners (IAO) and IAC, capturing IAO training dates and ensuring each IAO has a Letter of Authority from the HLB SIRO. Monitor/update TLB list of HLB IP roles (including IAOs).
  • Coordinate Information Governance Annual Assurance Returns (HLB SIRO AAR and IAO AARs). Send out calling notices for IAO AAR, progress and collate returns. Collate data required for HLB SIRO AAR.
  • Monitor and report Mandatory Training achievement for the Information courses (Protecting Personal Data, Records Management Awareness, Information and Knowledge Awareness). Reminding staff of requirement.

Data Protection (DP) Support:


  • Promote adherence to DP policy and other central guidance within DD maintaining a record of the advice and guidance provided and ensure links are updated when changes are made.
  • Advise and assist working level SMEs throughout the Data Protection Impact Assessment (DPIA) process. Checking that the Screening and DPIA Workbook has been completed to reflect processing of personal data and risks are captured.
  • Ensure that all DPIAs raised and/or approved within DD are recorded on the DD DPIA Register. Conduct periodic checks of the DPIA Register to assure that the records reflect the latest position for each DPIA. Monitor DPIA annual review dates and changes in IAO to establish and communicate a forward programme of DPIA reviews.
  • Where a DPIA for an information asset containing personal data has been raised, ensure that the information asset is identified and recorded in the Information Asset Register (IAR). Work with working level SMEs to keep the MOD's Article 30 Register within the IAR up to date and work with DD Commercial and seek assurance that Delivery Partners and 3rd party suppliers (data processors) meet the MOD's standards when processing MOD personal information.

Communication and education:
