Monday - Friday 9.00am - 5.30pmA developing and varied role to include, but not limited to, the list of duties below.
You must be reliable, be able communicate effectively with a confident telephone manner, be enthusiastic and willing to learn, have the ability to work as a small team and have good organisational skills.
You must take pride in the work you do for others with emphasis on attention to detail.Experience of MS Office (Word, Excel, Outlook) essential.
PRINCIPLE ACCOUNTABILITIES
Daily Client Opening/Closing.
Assist with relief reception duties, including break, lunchtime, and between 5pm and 5.30pm as scheduled in conjunction with the full-time and relief receptionists.
Full mailroom duties - collection of mail from all departments, processing of all Royal Mail/DX/LP and delivering to designated pick up areas.
Collection, scanning and filing of correspondence and documents, replenishing paper stock to all printers
Assisting with maintaining & updating databases: Anti Money Laundering database; Marketing database, Contact database etc
Assist in the creation of new files and archiving of old files as requested
Assist with the daily monitoring and process of Anti Money Laundering procedures
Sourcing general mailroom supplies
Provide support to Front of House Assistant when required
Ensuring that all filing/titles are stored correctly, and the filing room is kept tidy allowing the easy retrieval of files
Ensuring all fire exits are opened and locked daily
Copying and binding client documents including plans sent to external providers
General office maintenance tasks -moving/ unpacking boxes & stock; shredding confidential waste, delivery & uplift of boxes, ensuring Front of House is kept clean and presentable and secure
Assist with any other support duties as and when required
