Dispensary & Medication Enquiry Assistant


Reports To:
Medicine Manager


Hours: 29.5 hours Mon-Fri 13:30 - 18:30 + one morning per week (08:00-12:30)

Job Summary:


The purpose of this job role is to:

  • Working as part of the surgery's Dispensary team
  • Work as part of Prescription Enquiry Team looking at ways to improve polypharmacy and overprescribing in more complex patients
  • To help provide new and additional services such as dossett trays and delivery from our dispensary. Also the introduction of eRD prescriptions to local pharmacy's for more stable patients
  • Support the Medicines' Manager with more complex medication queries, medication changes, patient advice on OTC medication and self care (where appropriate)

Duties and Responsibilities:


The duties and responsibilities to be undertaken by members of the Practice Prescription Enquiries Team may include any or all of the items in the following list.

Duties may be varied from time to time under the direction of the Medication Manager, Executive Manager or Operations Manager, dependent on current and evolving Practice workload and staffing levels:


  • Audit patients with high levels of medications and look at ways to improve polypharmacy
  • Support patients with selfcare advice and encourage the purchase of OTC medications where appropriate.
  • Help ensure Prescription Enquiry Team and all clinicians are prescribing in the most cost effective way and provide them with up to date information on most cost effective products and ways to do this.
  • Dealing with drug alerts and putting structured plans in place to prepare alternatives when supply issues occur
  • Support Medication Manager with supply issues and switching of medications
  • Be confident in answering all medication queries and streamlining to other relevant members of the team where relevant.
  • Issuing prescriptions/Dossett prescriptions to pharmacies
  • Adding/amending medication on patient records and ensuring processes are followed to allow relevant checks to be made by clinicians
  • Process hospital letters with medication requests/amendments
  • Liaising with local pharmacies, community nurse teams, local hospitals, local care homes and PCN Pharmacy team
  • Issuing of eRD prescriptions
  • Be a point of contact for local pharmacy's and liaising with them about any changes or queries on patients medications who use the eRD system.
  • Support other members of the Prescription Enquiry Team
  • Dispense medication as stated on prescriptions (NHS and private), maintaining accurate dispensing records and ensuring that the medication is labelled with the correct drug name, strength, quantity, directions for use, patient's name and includes any additional required information.
  • Adhere to practice policies and procedures for dispensing medicines, in particular those relating to expensive and controlled drugs.
  • Obtain or provide a secondcheck on all medication issued where it is a new item to be included on the computer database
  • Ensure that the correct medication and prescription is given to the patient, confirming the details shown on the prescription form and the label and confirming the dosage instructions where appropriate.
  • Maintain appropriate stock levels of medicines, checking expiry dates and storage conditions.
  • Place accurate and timely orders with suppliers and accept deliveries of medication. Ensure stock is correctly rotated.
  • Maintain dispensary work areas and equipment, ensuring they are clean and in a good state of repair. Ensure equipment is calibrated and accurate.
