Team Assistant - London, United Kingdom - IFM Investors

Here at IFM Investors we are currently looking to recruit for aTeam Assistant to support the infrastructure team. This role will support approximately 10 to 15 people on all levels.
Duties:
- Arrange meetings with internal and external parties, proactively managing correct lineups and priorities.
- Manage asset companies' board meeting arrangements and act as a point of contact.
- Arrange travel as directed by the team and according to the policy, ensuring the appropriate approvals are in place.
- Proactively manage team members' diaries for conflicts and priorities.
- Process monthly expense claims and deal with any queries.
- Prepare packs and presentations.
See to ad hoc request.
- Enter business card or CRM data.
- Update Intranet with relevant materials.
- Support to other Team Assistants as requested, including holiday cover.
- Assist in reception duties.
- Comply with all policies and delegations applicable to the activities and decisions required in this role.
- Complete all compliance training provided.
- Oversee the development and ongoing management of processes that are consistent with excellent and efficient client service, investment processes and investment performance and which provide clear and easy to follow instructions for IFM Investors staff.
Person Specification
- Relevant experience in an administrative support role, ideally within a corporate environment.
- Clear and precise verbal and written communication skills with the ability to provide the team with a ready and thoughtout approach to tasks
- Conduct all communications in an open and approachable manner
- Able to establish rapport with and trust of staff, managers, and clients
- Understanding and adhering to deadlines, either in own work or other's
- Ability to plans own work and assists other assistants in organizing and completing their work
- Ability to proactively seek for and suggest solutions with a helpful and approachable attitude

- GCSE or equivalent (preferred)
Experience:
- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)

- Driving Licence (preferred)
