Description

There are many people involved in the housebuilding process all working together to ensure the continued success of Harron Homes.

To provide an efficient and responsive administrative, organisational and logístical service to the Construction Department.


Key Duties / Responsibilities

Construction Administration

  • Collation and distribution of weekly build progress and EUs to be sent to senior management and weekly build programmes to be sent to staff and senior management.
  • Process site and agency timesheets, track holidays and procure agency staff for sites.
  • Collation and processing monthly mileage and nonmileage claims for SM/ASM/Contract Manager.
  • Track and log handover paperwork from site and log CMLs for plots.
  • Send 14day call reminders to Contract Managers.
  • Liaise with external agencies to order Quality Control Plot Books and NHBC flags.
  • General administration duties for office and site and assisting with IT issues within the department.
  • Preparation for quarterly Site Managers meetings; agenda, paperwork/handouts, PowerPoint presentation, minute taking, distribution of minutes and actions.
  • First point of contact for the Construction Department both internally and externally, dealing with requests efficiently.
  • Document preparation for Construction Director; correspondence to departments and customers, reports, letters, build programmes, site plans and meeting papers.
  • Liaise with Recruitment Agencies; agree operative site cover/rates/facilitating PO numbers raised by the Commercial Department/agree worked hours along with the Contracts Managers.
  • Processing Accounts paperwork including weekly timesheets, signed invoices/receipts and confidential information.
  • Generate MI reports for senior management in preparation for board meetings.
  • Track status of surveys not completed. Send update to Construction Director.

IT and Equipment

  • Organise IT access and PPE equipment for new SM/ASM/Contract Managers.
  • Coordinate and setting up equipment (laptops/mobile phones/dongles) with the Office Manager.
  • Coordinate collection and return of company cars from site staff. If necessary, organising valeting or cosmetic repairs.

COINS

  • Add new SM/ASM to system, allocate Contracts Managers to sites and update SM on sites.
  • Update progress in plots, amend end dates on plots and release plots into build as directed by the Construction Director.
  • Run programmes on a weekly basis for distribution to management.
  • Create changes to layout of the programmes as directed by the Construction Director.
  • Input holiday breaks and construction period dates (Red lines).
  • Amend build stages, create new build stages and create new build programme specific to house type.

Health & Safety

  • Organise Health and Safety inductions, send accident report and weekly paperwork to the Regional SHE Advisor and send COVID paperwork to H&S Manager.
  • Coordinate training and health checks for site staff.
