We are seeking a driven and motivated individual to join us within the Portfolio and Project Delivery directorate in the Department for Transport.

You will work closely with 3 Deputy Directors to assist the department make a change in how it delivers a wide range of portfolio of projects.

Job description:


The Portfolio and Project Delivery Directorate (PPDD) has been created to drive and support delivery of DfT's large and complex portfolio of capital infrastructure and transformation projects.

This is in response to the recommendations included in a joint DfT and Infrastructure Projects Authority report entitled "Lessons from Transport for the Sponsorship of Major Projects".


We are seeking a Personal Assistant to join the Directorate which has three divisions: Project Delivery Excellence, Portfolio Management and Engineering divisions to ensure all three teams meets our requirements, and ensure the business and individuals are managed efficiently.

This is an exciting opportunity for a confident, adaptable person with strong organisational skills who enjoys dealing with people.

It is a job at the centre of the directorate, supporting three Deputy Directors (DDs) with different styles and portfolios, dealing with different types of tasks from day to day in a fast-paced and high-profile environment, and with plenty of opportunity to work independently and develop you own approach to tackling challenges.


Person specification:


  • Responsibilities may include but are not limited to _
  • Developing and maintaining effective processes to deliver a firstclass administrative service.
  • Preparing all diary logistics, including paperwork and briefing material. Including ensuring sufficient time for priorities, travel, desktime and breaks and arranging travel and accommodation when necessary.
  • Balancing conflicting appointments and suggesting delegation of meetings where necessary.

About you
To be successful, you will need to be someone who has PA experience including in-depth diary management.

You will have excellent organisational skills; you can prioritise workloads effectively whilst ensuring that the most tasks are completed within a timely manner.


You will have significant experience in a range of administrative roles supporting various senior managers and you can develop new ways of working with ease.


You are someone that has superb interpersonal skills and can communicate effectively across teams at all levels, including senior managers.


Additional information


A minimum of 40% of your working time should be spent at your principal workplace, although requirements to attend other locations for official business, or carry out detached duty in another DfT workplace, will also count towards this level of attendance.


There will be some travel involved if your location preference is not London, this is likely to occur up to once a month.

We will provide you with full notice if this is to occur well in advance.
