Purpose of the Job
To process insurance requests and requests from other agencies such as CICA, NHS, etc., and undertake NOCs enquiries

To undertake audits and site surveys

To assist with record management and governance activities

To provide data protection/FOI training


MAIN DUTIES AND RESPONSIBILITIES
To undertake duties at various locations throughout the Force


To maintain a thorough and up to date knowledge of Data Protection, Freedom of Information and associated legislation and records management standards to enable the provision of advice and assistance in respect of enquiries related to the processing of and access to information held by the force or shared with partnership agencies.

Prepare responses and correspondence associated with relevant information access requests and related enquiries including taking decision to provide response, and quality assure peers work prior to responding to requesters

Responsibilty for notifying CRU of potentially prejudicial requests.

Responsibility for negotiation with information custodians/originators, including partner agencies.


Assess information suitability for publication under the Force's publication scheme and update the Force publication scheme, and update the Force IM web site as required.

Undertake comprehensive risk based audits of the information holdings of the Force


Provide an advisory service for all sections of the force (and members of the public) in respect of use of all Force systems including the provision of advice and assistance in respect of problems, queries, procedures and best practice.

In conjunction with OLWD, assist the Information Integrity and Records Management Officers to develop, evaluate and deliver training programmes for Data Protection, Freedom of Information and Information Security for all GMP personnel and partner agencies as required

Assist with the design of, and undertake research and evaluation projects (e.g. audits) including devising and implementing an appropriate methodology


Assist with the gathering, analysis and evaluation of different types of data and information from a variety of sources and to present findings and recommendations in written reports and briefing papers.

Undertake compliance assessments of force policies, procedures and use of personal data, undertake BRD assessments and contribute to the Cerberus process

Undertake complaints investigations and review appeals against non-complex FOIA and SAR disclosure decisions undertaken, in first instance, by peers.

Assist with the development and monitoring of ISA's

Update knowledge and assimilate information in relation to changes and developments in respect of information audit, accreditation and compliance procedures and practice

Assist with records management assessments and audits.


To promote and comply with GMP's policies on health and safety both in the delivery of services and the treatment of others.

Comply with and promote equality legislation and GMP's policies on diversity and equality. Take steps to eliminate unlawful discrimination, advance equality of opportunity and foster good relations

To fully participate in GMP's development review process

If you have responsibility for staff; to manage staff development, performance and attendance using appropriate GMP policy and procedure.


To comply with the requirements of GMP's policies on Drug and Alcohol testing - requirements in respect of specific posts/ roles are described in the policies which are available on the Intranet/SharePoint.


All staff and officers must adhere to and comply with Data Protection, Freedom of Information and Human Rights legislation and the Authorised Professional Practice (Information Management).

It is the responsibility of all staff and officers to maintain data quality and security.

Therefore when inputting, updating and using GMP information, you are to ensure that it is Accurate, Adequate, Relevant and Timely (AART), and that it is used / disclosed for business purposes only and kept secure.

To carry out such other duties which are consistent with the nature, responsibilitiesand grading of the post.
