Description

The main responsibility of the role is to provide all aspects of project and programme support across the Project Management Office (PMO) and Capital Planning Team for the Stroke/Cardiology Diagnostic and Treatment Centre programme.

The role requires initiative, discretion, attention to detail and the ability to work, with minimum supervision, to deadlines Excellent administrative, organisational, stakeholder and communication skills are essential to the success of this role.

This post requires experience in a programme and project management environment.


Specific tasks include:

Communication & Relationships:
Develop and maintain effective working relationships.

Gain support for projects from key stakeholders. Support the management of a demanding, fast paced action plan. Support the provision and communication of complex, sensitive and highly contentious information to key stakeholders. Help prepare reports and presentations for Project/Programme Leads to share with stakeholders, staff and project boards.

Work in close cooperation with Project/Programme Leads, Project/Programme Managers and other colleagues. Use persuasive and negotiating skills to improve understanding when dealing with stakeholders. Use interpersonal skills to overcome all barriers, which can sometimes be very significant, to ensure successful outcomes. Adopt a supportive, facilitative approach to ensure the continued momentum of the project/programme is maintained.


Analytical & Judgement:

Under the direction of the Project/Programme Manager, analyse and interpret information and data and make comparisons to identify potential options, corrective or appropriate action.

Support the identification and management of risk and issues. Provide appropriate financial and activity information as required to generate reports for Board committees.

Provide support for any Productivity and Efficiency Programme tracking in relation to this programme Project Support/Project Management:
Provide Project and Administrative support to the Stroke/Cardiology Diagnostic and Treatment Centre programme.

Coordinate and provide support for Programme Board and Work stream meetings, ensuring correct governance is followed.

Monitor, track and coordinate funding requests through CAGs/ POs and DAFs, ensuring correct governance is followed and requests are produced and submitted in accordance with governance timescales.

Support delivery of the Trusts projects and programmes. Support the production of documentation relating to the projects/programmes, e.g., risk logs, action logs, project plans.

Operate, maintain, and provide support in the use of the PMO toolset. Co-ordinate and provide support for other project meetings. Assist in the production of key project documentation. Assist in conducting project audits.

To manage small projects through the full lifecycle in line with the Trusts Delivery Framework. Effectively plan, resource and monitor projects. Direct and motivate the project team. Identify and manage all stakeholders.

Agree any delegation and use of project assurance roles required by the Project Board.

Prepare Project, Stage and, if necessary, Exception Plans in conjunction with Managers, and appointed project assurance roles, and agree them with the Project Board.

Manage business and project risks, including the development of contingency plans. Other project duties as and when required.


Staff Management:
Line management of administrative team members. Provide support to the wider Strategy and Planning/Capital Planning division. To act as coach and role model to staff in the team. Promote a satisfying and challenging environment for staff to work in.

Aim to build a climate in which staff are valued and developed to their full potential. Recognise and reward the contribution of each member of staff.

To ensure all permanent and temporary staff are appropriately inducted and have the resources, knowledge, skills, and support to perform their role.

To influence colleagues from across the organisation, coaching on the importance of milestone management in projects.

Demonstrate effective leadership at all times. Demonstrate supervisory skills for new junior and support staff. Utilise Trusts Policies, Procedures and Guidelines, actively contributing to their development.


Human Resources:
Facilitate recruitment of staff, including raising of Authorisations to Recruit, cases for need and arrangement of job interviews.

Maintain appropriate records, adhering to national, local and Trust guidelines on record keeping. Ensure attendance of staff at mandatory training for compliance
