Salary:
£25,500 per annum, based on a 35-hour work week or pro rata for working fewer than 35 hours


OVERALL PURPOSES OF JOB


Within this role you are responsible for the continued smooth running of Rowan Alba, providing administrative support, maintaining appropriate records, and ensuring all appropriate facilities are in place.

You will be responsible for all aspects of accounting and invoicing, as well as being a point of contact for all staff and volunteers on finance matters.


Main Duties and Responsibilities:


Core Purpose of Job:

To ensure the running of Rowan Albas Finance department, you will assist with:

  • Issuing invoices to Council or Funding provider;
  • Processing payments, invoices, all income and expenditure for Rowan Alba using dedicated systems;
  • Assist with compliance tasks such as PAYE, bank reconciliations;
  • Management of XERO as Rowan Alba's purchase ledger, including processing XERO payments, review of XERO accounts, processing staff expenses, matching purchase invoices to purchase orders, credit card reconciliation to statement, and statement reconciliation and chase missing invoices;
  • Payment of all staff and volunteer expenses;
  • Implementing and following GDPR requirements (including data retention) on financial and account administration;
  • Management of petty cash & activities cash for the Head Office and residential services;
  • To support the smooth operation and integration of the finance function into the company operations;
  • To ensure effective communication in line with the company culture both internally and externally;
  • To support Senior Management Team by undertaking general financial administrative tasks as identified;
  • Working with Senior Management Team on ad hoc projects or work as required;
  • Undertake general administrative duties accurately and efficiently;
  • Maintain Finance manual.

PERSON SPECIFICATION

Experience:


Essential:


  • A proven track record of administrative experience.
  • Experience working within a busy office requirement.
  • Demonstratable experience dealing with financial transactions, including issuing of invoices, and recording of financial transactions.
  • Demonstratable experience of using XERO or another Financial system.

Desirable:


  • Experience of working in the voluntary sector and of service delivery.

Knowledge and Understanding:


Essential:


  • Demonstrable knowledge of a range of software packages including Microsoft packages.
  • Demonstratable knowledge on GDPR requirements (including data retention) and how to implement & follow them in Finance.

Desirable:


  • Experience of working in the voluntary sector and of service delivery.

Skills, Education and Qualifications:


  • Proven record in office management role.
  • Strong interpersonal, written and oral communication skills.
  • Excellent organisational and time management skills.
  • Excellent IT skills.

In Return We Offer:


  • A competitive salary of £25,500 per annum, based on a 35hour work week or pro rata for working fewer than 35 hours;
  • Hours: 21 hrs, spread equally over 5 days Mo-Fri between 09:00 17:00;
  • Pension contributions 5% employee contribution & 3% employer contribution;
  • Holidays 28 days (flexible) plus 4 (25/26th December, 1/2nd January); pro rata, based on 35 hours per week;
  • Location based in our Head Office at Fountainbridge in Edinburgh with working from home when possible.
