Purpose of the job:


The Finance Assistant is a key member of the Operations team who contributes significantly to the smooth and professional working of the College by offering efficient, accurate and professional delivery of financial services.

As a public-facing ambassador of the College, they demonstrate the highest professional standards at all times.

Exceptional administrative skills, flexibility, the ability to work under guidance to deadlines as well as being self-directed and showing initiative are key characteristics of the post-holder.

The Finance Assistant supports all members of the community by analysing, reporting and presenting financial information effectively; being a point of reference for all queries and triaging information efficiently.


Main Responsibilities

  • Support the Director of Finance & Operations in recording and retrieving financial details, including maintaining all financial records
  • Support the Director of Finance & Operations by reviewing aged debtors and aged receivables
  • Input accounting data into the accounting system with speed and accuracy
  • Plan, organise and manage own workload to ensure your contribution to the College's monthly financial reporting process is achieved in a timely and accurate manner
  • Resolution of finance related queries raised by internal and external sources
  • Assist with detailed analysis of monthly costs
  • Report on spend year to date for all budget holders
  • Assist with month end and year end reporting
  • Provide financial support to team members
  • Forward thinking and have ability to adapt to change
  • Regular housekeeping of all accounting ledgers
  • Assist the Director of Finance & Operations with administration duties
  • Liaising with key budget holders to determine their product and service needs
  • Performing all procurement activities including negotiating supplier agreements and preparation of contracts where applicable
  • Identifying areas for improvement to continually drive performance and business results
  • Managing overall direction, coordination and evaluation of procurement for the College
  • Developing strong relationships with key budget holders and strategic supply partners to improve business
  • Implementation of policies, processes and procedures for compliance purposes
  • Ensuring that procurement projects are properly managed and delivered in line with the agreed targets, standards and procedures
  • Liaising with suppliers to develop procurement strategies that deliver compliant, value for money contracts to meet the colleges need
  • Any other duties for this role that may be deemed appropriate
Experience and Qualifications for Finance Assistant

  • AAT Qualified
  • 23 years of experience working in finance
  • Able to work independently and take initiatives to improve services.
  • Able to communicate with senior managers and directors and gain consensus and support.
  • Experience with Xero accounting system and excellent excel skills with Experience
  • Experience of working within a finance department
  • Basic understanding of accounting processes and procedures
  • Knowledge of google drive and the google suite
  • Ability to communication with internal and external sources in a professional manner
  • Selfmotivated and enthusiastic
  • Ability to work under pressure and meet targets and deadlines
  • Ability to work in a busy office environment that often demands high levels of concentration
  • Ability to respond effectively to changing priorities
  • Ability to manage high volume workload

Health & Safety:


  • Comply with all health and safety procedures as required by the college on all sites;
  • Report any concerns, issues and near misses;
  • Keep up to date with all relevant training;
  • Act as a Fire Marshal if asked to do so and trained appropriately.
