We are now recruiting for a experienced Facilities Lead who will support the Head of Section with facilities management, budget management and continuous process monitoring, as well as improvement and implementation of cost-effective solutions for maintaining HMUK and Genesis Properties (Academy, Tilbury, Alfa Laval, Birchwood, and Genesis Studios) in the UK.

You will support with environmental initiatives including ESOS, SECR, ESG. You will support the management of reception, catering, post room and cleaning contracts at the Head office (Leatherhead).

Within the scope of this role you will also support the Internal Fleet e.g. pool cars, processing fines, DVLA and coordinating V5's.

You will be main point of escalation for for customer, supplier and facilities issues, including limited out of hours work in the absence of HoS.

You will have responsibility with Health and Safety statutory and general requirements.

You will support management of the HMUK outsourced support service teams enabling the department to meet all internal/external requirements to include the coordination of landlord contractors.


You will provide and maintain a high standard working environment that is safe, comfortable, and engaging, minimising risks to employees, visitors, and contractors.


Key Responsibilities:


  • Work closely with contractors to ensure all service levels, KPIs and audits are in order
  • Build strong working relationship with all support staff and stakeholders
  • Continuous monitoring of contracts with annual reviews including SLA's and KPIs
  • Process and track supplier invoices, raising workflows or capital requests. Ensure suppliers are being paid in a timely manner, escalating payment queries as necessary
  • Ensure all building related policies, works and risk assessments to ensure up to date and compliant with the latest regulations (Safety 1975 act, RAMS)
  • Support work with the Landlord and managing agents to ensure that consent for work is gained where applicable and all service charge contracts are performing
  • In the absence of HoS, the responsible person for H&S, ensuring the business is always compliant
  • Assistance with ad hoc projects e.g. office moves, refurbishments inside and outside of normal working hours as well as helping with disposal of the company property
  • Responsibility for all printed stationery ensuring brand guidelines is always adhered to
  • Support fire procedures, carrying out fire drills, evacuations, fire warden briefings and maintaining procedures inline with H&S
  • Communicating facility related employee rules/guidelines/notices to the business
  • Support management of security and maintenance out of hours in the absence of the HoS
  • Liaise closely with other sites to discuss maintenance services
  • Complete frequent performance surveys to align the performance from our support services
  • Take pride in the visual standards of all areas including communal zones
  • Ensure post room supply levels are monitored and replenished
  • Coordinate contractors and ensure COSHH, RAMS and other Health & Safety systems are in place
  • Point of contact for facilities issues, raising work requests to the appropriate helpdesk and following through
  • Support auditing and quality management of all building services
  • Assist HOS as directed and cover all responsibilities in their absence, with the main responsibility to cover the Birchwood Building
  • Under the direction of the Head of Section, GA or in their absence, to respond to incidents whether as part of a local response, or as part of a wider disaster recovery event, performing such duties as are appropriate to the role and in accordance with published guidance on incident control
  • Undertake a range of basic maintenance tasks, and exercise judgement as to whether issues need to be escalated to the HoS or an exte
