Job Title:
College Wellbeing Assistant


Reporting to:
College Wellbeing Coordinator


PURPOSE OF THE ROLE


The College Wellbeing Assistant supports the activities of the Wellbeing Team, by providing administrative support for the College Wellbeing Coordinator and College Student Health Advisor through event management and purchasing administration.

The postholder will also be the College's Disability Liaison Officer.


KEY TASKS

Main Accountability:


  • To provide administrative and operations support to College Wellbeing Coordinator and College Student Health Advisor to support the Wellbeing Programme.
  • Contribute to the implementation of a wellbeingfocused emphasis across the College community.
  • Develop and continually review College administrative systems and practices to identify risks, and areas where wellbeing and resilience can be better enhanced/promoted and feed this back to the Wellbeing Team.
  • Ensure efficient administrative communication within the Wellbeing Team.

Programme and Administration:


  • Provide a general secretarial service for the Wellbeing Coordinator and College Student Health Advisor. Diary management, arrange meetings, take notes/ minutes, expense claims, type standard letters and other correspondence, deal with telephone enquiries, receive and distribute post and deliveries.
  • Liaise with the College Student Health Advisor and capture data from students with regard to their GP registration.
  • Liaise with students to encourage Cambridge GP registration at the start of the academic year and throughout the year, using CamSIS or other suitable recording means.
  • For those students who refuse to register with a local GP, devise and administer an exemption form, keeping the College Student Health Advisor informed as to progress.
  • Events management for the Wellbeing Coordinator; liaising with external contacts, raising purchase orders in FocalPoint, booking rooms, communicating events to students and monitoring RSVPs and attendance.
  • Provide administrative support, maintain, and update nonconfidential documents, undertake reception duties, welcome visitors, receive phone calls and respond to straightforward enquiries.
  • Provide administrative support for small scale events/ meetings. Book rooms, order refreshments, send out invites. Assist with the production and preparation of publicity materials.
  • Collaborate with the Wellbeing Team to create and produce wellbeing workshops and events.
  • Support and attend wellbeing events and activities, providing administrative support.
  • Support the coordination of the Mental Health Champions initiatives.
  • Maintain records of those attended events/training run by the Wellbeing Team.
  • Produce CamSIS spreadsheets in August each year of students being admitted to Homerton as PGCE, postgrads and undergrads, with specific fields as laid down by the College Student Health Advisor. Send these spreadsheets to the College Student Health Advisor as requested and adhering to deadlines.
  • Process College Student Health Advisor's invoices for the College appointed Mental Health Nurse.
  • Be present and engaged at wellbeing events providing a reliable and predicted friendly face at events run by the Wellbeing Team.
  • Create and maintain a good reputation with staff, students and fellows for being approachable, professional, trustworthy.

Disability Liaison Officer

  • Promote and circulate University and college information concerning disability and related resources to all students and student bodies to promote resources and initiatives available to students and staff.
  • Gather evidence from students about their disability for use by the Examinations boards in determining whether an allowance is possible.
  • In conjunction with the College Student Health Advisor and Senior Tutor, analyse data produced by the ADRC, for instance in the Cohort summary to ensure accommodation adjustments and other needs are met.
  • Once a disability is declared and made known to the DLO, ensure accommodation adaptations are made, in consultation with the College Student Health Advisor and in liaison with other appropriate departments.
  • Be responsible for administering the budget for the adaptations as cited above.
  • Keep up to date with changes in disability provision and related law by reading articles and attending training sessions in order to facilitate changes when necessary to disability procedures and resources available to students and staff.
  • Liaise in communication and sharing of information, between the Accessibility and Disability Resource Centre and the College Student Health Advisor about Homerton students' assessment, recommended adjustments, and support.
  • Restock and replenish First Aid Kits.
