Executive Assistant to Director, Fordingbridge

Salary:
£25,000 to £30,000 (DOE)


Working Hours:
Monday to Friday, 9:00 AM to 5:30 PM (1 hour for lunch).

30 days of annual leave which include bank holidays (increasing one day per year to a maximum of 33) with the option to purchase up to an additional 5 days per year.


Responsibilities:


Personal Assistant Responsibilities:

Manage the Director's calendar, coordinating appointments, meetings, and events efficiently.

Act as the primary point of contact, demonstrating excellent communication and interpersonal skills.

Prepare and organise necessary materials for meetings, ensuring the Director is well-prepared for all engagements.

Conduct research, compile reports, and assist in the preparation of presentations for the Director.

Maintain confidentiality of sensitive information and handle discreet matters with utmost professionalism.

Perform any other ad-hoc tasks and duties to support the Director's effectiveness and efficiency.


Administration Responsibilities:

Manage the Director's office, maintaining a clean, organised, and efficient workspace.

Coordinate and manage administrative projects and tasks as assigned.

Draft, proofread, and edit documents, correspondence, and reports with a high level of accuracy.

Maintain and organise electronic and paper filing systems, ensuring easy retrieval of information.

Assist with the preparation and distribution of internal and external communications.

Liaise with other team members to facilitate efficient communication and collaboration.

Assist in the coordination of company events, conferences, and workshops.


Skills:

Previous experience as an Executive Assistant, Personal Assistant, or similar role is preferred.

Strong organisational skills and exceptional attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Excellent written and verbal communication skills.

Ability to prioritise tasks and manage time effectively in a fast-paced environment.

Professional manner with the ability to interact confidently with individuals at all levels.

Discretion and integrity when handling confidential information.

Proactive problem-solving skills and the ability to work both independently and as part of our small team.
