We have an exciting opportunity to join the F14 Gynaecology and Early Pregnancy team in a clerical role.

We are a small, yet busy ever evolving team who strive to offer excellent high standards of care to the women who are attending our ward as an inpatient or one of our outpatient clinics in Early Pregnancy or Gynaecology Assessment.


We are looking for a passionate, organised individual, who can take the lead on the administrative tasks for the ward and clinics, such as booking patients in, preparing patients notes and answering the telephone.

The F14 team consists of supportive Nurses, Healthcare Assistants and On-call Gynaecology Doctors. We all work closely together and pride ourselves being a friendly approachable team.

The ward can be a busy environment therefore, we require someone exceptional communication and organisational skills.


Main responsibilities include:

Answering the telephone - dealing with patient's queries and referring to the appropriate colleague as required

Booking in-patients and clinic patients on to Hospital computer system (ecare)

Organising and preparing patients notes

Team working - essential for working closely with our Nursing and Medical colleagues

Runner - willing to send/collect items from other departments and help transport patients

Welcoming patients and visitors to the ward

Report any security or safeguarding issues

Respect the confidentiality and privacy of our patients

Job summary:


This is a key post in the provision of administrative and clerical support in gynaecology services and the early pregnancy assessment unit.

The clerk is an important and integral part of the ward and department team, and applicants must be willing and able to act on their own initiative and organise their workload effectively and efficiently.


Job responsibilities:


  • Answers and deal with incoming telephone calls from women, relatives and staff appropriately.
  • Transports items, eg: pathology specimens, drugs and health records between departments as required.
  • Follows the guidance and instructions of the ward manager or nurseincharge.
  • Receives and relays messages to staff as required, including reporting of any discomfort or anxiety observed or expressed regarding women and their families.
  • Escorts women to other departments and assists with their transfer to other wards.
  • Coordinates women attending as elective and emergency ward attenders.
  • Has an active role in ward security.
Clerical Responsibilities

  • Ensures that all case notes are maintained in good order and filed promptly.
  • Communicates investigation and treatment results to other departments and GP surgeries as required.
  • Inputs and maintains contemporaneous data records of admissions, transfer and discharge information on data systems.
  • Arranges outpatient and ultrasound follow up appointments.
  • Maintains supplies of patient information leaflets.
  • Ensures all post is dispatched in a timely manner.
  • Provides typing support as required.
  • Completes coding proforma.
  • Contributes to ward audits and quality assurance (including EPRO compliance).
Professional Responsibility

  • Is kind and considerate to women, their families and visitors at all times.
  • Applies a nonjudgemental attitude when dealing with women who attend for sensitive issues.
  • At all times maintains a professional manner that does not attract negative comment or publicity from service users.
