Job Summary:
Reporting into the Ordering Manager (Purchasing Manager), the Purchasing Assistant is responsible for reviewing the material forecasting and purchasing information from the ERP system plus internal input to place the daily orders with suppliers in a timely manner for all units managed by the position.
Main Duties & Responsibilities
- Reviews the purchasing information from the ERP system and internal input to place the daily orders for the GG suppliers in a timely manner
- Shortterm material planning (responsibility for quantities in the shortterm)
- Orders to be placed via GG ERP and Customer/Vendors portal where applicable (food, equipment & airline equipment)
- Gate Gourmet suppliers
- Operation supplies
- 3rd party owned material (gate retail goods) = consignment stock
- Responsible for the day to day maintenance of ERP systems (GG (SACS) & External Customer) up to date (transactions and maintenance)
- Review KPI (Outstanding PO's)
- Shortages communication to suppliers
- Collaborates closely with Warehouse to ensure stock levels are constantly monitored in line with Days on Hand data, minimum/maximum stock levels are adhered to, and targets and applicable business KPI's are met
- Reviews material waste and adjusts stock levels proactively and accordingly
- Reviews deadstock and adjusts stock levels proactively and accordingly
- Responsible for keeping all ordering activities in line with unit finance regulations and audit criteria
- Communicates with internal & external customers on irregularities and ensures GG Suppliers are performing to high standards with the support of Procurement
- Flexible in working in different area of the warehouse operations (GGHN & Radius Park)
- Any other activities as assigned by the Meal Ordering Manager (Purchasing Manager), i.e. Menu change meeting, new start up, Max demand validation
- Adheres to legal/ HACCP compliance across health and safety, food safety, security, and gateOPEX (inhouse operational excellence program) and reports all incidents/accidents.
Qualifications:
Education:
- GCSE level or equivalent/High School Diploma or GED required
- Certification in food safety and/or sanitation preferred
Work Experience:
- Relevant experience in a purchasing role is essential
- Previous experience in Data Analysis is preferable but not essential.
- Previous experience of working with Purchasing systems / ERP
Other Skills:

- Effective verbal and written communication skills in English,
- Ability to exhibit a high level of accuracy and attention to detail.
- Ability to work efficiently using own initiative to resolve issues in a pressurised environment
- Ability to work under pressure and to tight timescales, multitasking and prioritising as appropriate
- Must demonstrate integrity, confidentiality and professionalism always.
