Executive Assistant, UK (hybrid), any Idox office.

About the role


We are looking for an experienced Executive Assistant to support our C-Suite in advancing progressive and challenging corporate projects for Idox plc.


Providing information and administrative assistance to a wide range of senior internal and external stakeholders, our Executive Assistant will be fully engaged with our Senior Management Group (SMG), board members and business partners to Idox.

Key Responsibilities:


Senior Management Group (SMG) diary management


Co-ordinate multiple diaries, and manage commitments with internal and external stakeholders to maximise time efficiency for the board and senior management group.


SMG communications

SMG document production
Drafting and assisting in the production and distribution of internal and external documents to deadline.


SMG event management


Organisation of regular internal meetings, large scale external events, arranging appropriate facilities and travel arrangements, and ensuring any necessary documentation is provided in a timely manner.

This includes support of our staff communication programme alongside our Head of Communications. Events explicitly include PLC board meetings, investor roadshows and presentations to city analysts.


SMG administration
Regular travel arrangements, use of travel management systems, oversight of personal expense claims. Minute-taking. Pro-active follow-ups to actionable items, when appropriate.


SMG business
Involvement in other projects across the business, as necessary for the effective performance of the leadership team.

Adherance to Idox Information Security policies and protocols.


Person Specification:


  • Excellent communication skills, to quickly build rapport with business partners
  • To uphold a strict level of confidentiality
  • Professionalism and integrity at all times, total composure with internal and external stakeholders
  • Initiative to progress matters and escalation to the CEO and other Executive Officers
  • To travel to Idox offices as required to support the activities of the Leadership teams. Occasional, pre planned travel is expected to be within the UK.

To be successful, you should bring:

  • Previous experience working alongside senior leadership in a plc. Any experience working with international teams would be welcome, particularly with Indian colleagues.
  • Advanced Microsoft Office skills, with an ability to become familiar with firmspecific programs and software
  • Proficiency in collaboration and delegation of duties
  • Strong organisational, project management and problemsolving skills with impeccable multitasking abilities
  • A friendly and professional demeanour.
