Position Overview:


Reporting to the Head of Quality, you will be responsible for supporting the organisation in all aspects of quality and learning and development compliance and delivery.

This includes but is not limited to supporting new head office employees during their induction, taking minutes at meetings within the governance structure, supporting compliance from the operational team, and administrative duties for e-learning, incident reporting, health and safety and CQC.

The post holder will support the business to be compliant in terms of quality governance and training.


Main Duties and Responsibilities:


  • Arranging inductions for new head office staff members.
  • Collation of weekly and monthly compliance KPIs for Quality and L&D, communicating results with the relevant team members.
  • Maintaining an uptodate training needs analysis (TNA).
  • Booking face to face training in line with the TNA and ensuring that managers book the correct team members onto training.
  • Design audit templates in line with the needs of the business.
  • Ensure that the operations team is aware of their own team's training compliance and support a high level of compliance through reminders and booking courses.
  • Sourcing external training organisations.
  • Agenda preparation and minute taking and distribution, and actions where necessary, for the Health and Safety Scrutiny Committee, the Board meeting, the Quality Governance meeting and other meetings at the request of SMT.
  • Maintaining confidentiality at all times in relation to meetings with SMT.
  • Monthly corporate analysis for accidents and incidents.
  • CQC administration and tracking.
  • Writing crib sheets for managers for internal processes.
  • Reviewing care notes on PCS and identifying correct reporting procedures.
  • Drafting documentation at the request of the SMT.
  • Having a key relationship with Citation and using Atlas for the benefit of the business.
  • Administering ELFY, ensuring that onboarding and offboarding is completed correctly, ensuring that face to face training is up to date on the platform, and providing management reports on request.
  • Support with investigations where required.
  • Undertaking other duties at the reasonable request of SMT.

Required Skills and Experience:


  • Previous experience in an administrative role
  • Strong people skills
  • Good organisational skills
